About The Position

The Marketing & Events Coordinator supports the planning, coordination, and execution of company and client events while assisting with corporate marketing programs, including awards management, branded merchandise, social media, and PR/communications support. This is an execution-driven role. You will help ensure events, awards programs, sponsorships, and promotional initiatives are organized, on schedule, and aligned with Kidder Mathews brand standards. This position is based at our headquarters in downtown Seattle and will require full-time, in-office presence (five days per week) during the first three months to support onboarding and ramp-up. Following that period, the role will transition to a hybrid schedule.

Requirements

  • 3+ years of event coordination, event marketing, or related experience
  • Understanding of corporate marketing operations, event coordination, branding, and communications support within a professional services environment
  • Familiarity with coordinating events, awards programs, and promotional marketing activities
  • Strong computer skills (specifically MS Office: Word, Outlook, and Excel)
  • Excellent grammatical, oral, and written communication skills
  • Exceptionally detail-oriented with a strong personal standard for organization and accuracy
  • Highly organized and process-driven, with the ability to manage timelines, budgets, and logistics with precision
  • Comfortable building and maintaining spreadsheets, trackers, and event run-of-show documents
  • Strong customer service orientation and ability to build relationships with brokers, employees, leadership, vendors, and clients
  • Ability to work proactively with minimal supervision and know when to ask questions
  • Professional communication skills and presence
  • Ability to multitask and prioritize effectively in a deadline-driven environment
  • Professional level of confidentiality when handling employee and broker information
  • Strong initiative and ownership of assigned tasks
  • High School Diploma or equivalent required

Nice To Haves

  • Experience using Adobe Creative Suite programs (InDesign, Photoshop, Illustrator) preferred
  • Bachelor’s degree or equivalent combination of education and experience preferred

Responsibilities

  • Plan and execute company and client events, including conferences, meetings, client functions, and sponsorship activations
  • Support the full event lifecycle, including site selection, budgeting support, vendor coordination, catering, A/V, invitations, RSVP tracking, agendas, signage, and materials
  • Provide day-of event coordination and on-site logistical support
  • Coordinate event materials, including shipping, swag, signage, name tags, and promotional items
  • Assist with hotel room blocks, contracts, and event budgets as needed
  • Prepare and distribute awards materials (certificates, plaques, recognition items)
  • Maintain awards and rankings tracking systems
  • Draft and submit award nominations in partnership with Marketing Communications leadership
  • Support industry ranking surveys, awards submissions, and voting campaigns
  • Coordinate logistics for company sponsorships (awards events, panel engagements, conferences), including table and ticket coordination, broker alignment, and collaboration with PR to maximize visibility and brand exposure
  • Coordinate branded merchandise, apparel programs, promotional inventory, and new broker welcome packages across offices
  • Assist with branded gifting initiatives and promotional campaigns
  • Provide social media support, including posting, drafting content, and basic graphics as appropriate
  • Assist with tracking press activity and media mentions
  • Support preparation for press release distribution
  • Support online brand review monitoring and reporting
  • Ensure Corporate Marketing and Kidder Mathews brand standards are followed across events, marketing, and communications deliverables
  • Perform other duties or projects as assigned
