As Marketing Coordinator at Wood Harbinger you'll support firm-wide business development and marketing initiatives by developing and maintaining marketing information systems and records; editing, coordinating, and writing proposals, brochures, and other marketing materials; and coordinating the overall marketing effort to ensure timely, high-quality responses to client opportunities. This role collaborates closely with technical staff and leadership to promote Wood Harbinger’s brand and services.

Requirements

  • Bachelor’s degree in marketing, communications, journalism, business, or related field; or an equivalent combination of education and experience.
  • 2–5 years of experience in marketing or communications, preferably in an architecture, engineering, or construction (A/E/C) or professional services environment.
  • Strong writing, editing, and proofreading skills with a focus on clarity, accuracy, and audience awareness.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel); experience with Adobe InDesign and related Creative Cloud applications preferred.
  • Familiarity with CRM, opportunity tracking, or marketing database tools (Deltek Vantagepoint) preferred.
  • Ability to organize and manage multiple projects, priorities, and deadlines in a fast-paced environment.
  • High attention to detail, quality, and consistency in all work products.
  • Demonstrated ability to work collaboratively and build effective working relationships across teams.

Responsibilities

  • Proposal and Pursuit Coordination:
  • Coordinate, edit, and produce statements of qualifications (SOQs), proposals, and interview materials in response to RFQs/RFPs.
  • Develop, maintain, and organize standard proposal content, including project descriptions, staff resumes, and firm templates.
  • Work with project managers and principals to gather technical input, win themes, and differentiators for each pursuit.
  • Create and maintain proposal schedules, track deadlines, and ensure all submittal requirements are met.
  • Support creation of interview presentations and collateral, including slide decks, handouts, and leave-behinds.
  • Marketing Materials & Communications:
  • Edit, coordinate, and help write brochures, project profiles, capability statements, and other marketing materials.
  • Develop clear, concise, and compelling written content that reflects Wood Harbinger’s brand and value proposition.
  • Assist with content for the firm’s website, social media, email campaigns, and other digital platforms.
  • Lead coordination with internal teams to collect project information, photos, and stories for use in marketing materials.
  • Ensure consistency with brand standards, templates, and messaging across all marketing communications.
  • Marketing Information Systems & Records:
  • Develop and maintain marketing information systems and records, including opportunity tracking and pursuit histories.
  • Maintain project photography, staff bios, and marketing asset libraries.
  • Lead maintenance of the client relationship management (CRM) system and marketing databases.
  • Track key marketing metrics such as hit rates, proposal volume, and opportunity stages to support reporting and planning.
  • Support data integrity and standardization across all marketing records and systems.
  • Business Development Support:
  • Support principals and project managers with market and client research for pursuits and strategic planning.
  • Prepare background information, briefing documents, and presentation materials for client meetings.
  • Assist with development and execution of client outreach campaigns and targeted communications.
  • Coordinate internal debriefs and lessons-learned sessions following major pursuits.
  • Support maintenance of contact lists and help ensure timely follow-up on leads and opportunities.
  • Event and Conference Support:
  • Assist with planning, coordination, and logistics for conferences, trade shows, sponsorships, and client events.
  • Coordinate registration, exhibit materials, shipping, and on-site support as needed.
  • Help develop event-related collateral, giveaways, and follow-up communications.
  • Capture and organize outcomes and contacts from events into marketing systems and CRM.
  • Internal Collaboration & Administration:
  • Collaborate closely with principals, and technical staff to align marketing efforts with firm priorities.
  • Lead internal meetings to understand upcoming pursuits, project milestones, and marketing needs.
  • Assist with marketing-related administrative tasks such as budget tracking, and vendor coordination as requested.
  • Contribute ideas for improving processes, templates, and tools to increase marketing efficiency and impact.

  • Robust compensation: Target annual base compensation for this role in the state of Washington is based on experience level: $43.27 - $53.37/hour. Factors considered when determining compensation offered include, but are not limited to: skills, prior relevant experience, and any certifications.
