About The Position

The Marketing Asset Manager is responsible for managing and continuously evolving the company-wide marketing and visual asset ecosystem. This role oversees the organization, storage, governance, and distribution of the company’s digital content—including resumes, project profiles, photography, videos, logos, proposal collateral, and campaign materials—using structured systems and Digital Asset Management (DAM) platform (Open Asset). The Marketing Asset Manager supports proposals, marketing initiatives, and relationship management efforts by ensuring assets are accurate, accessible, brand-aligned, and strategically deployed. This position ensures brand consistency, manages content usage rights, and streamlines workflows between creative teams, marketing, business development, and external partners to enhance efficiency, quality, and responsiveness across the organization. Additionally, this role is responsible for proactively developing, collecting, and preserving institutional knowledge that reflects White Construction’s history and growth. This includes gathering and documenting stories, milestones, and relevant information related to personnel, projects, events, awards, and corporate achievements. The Marketing Asset Manager maintains these historical records in a structured, searchable format to support marketing, branding, recruitment, legacy initiatives, and long-term corporate storytelling.

Requirements

  • Bachelor’s degree from an accredited four-year college or university in Marketing, Communications, or related field.
  • Excellent writing, communication, and organization skills
  • Positive, enthusiastic and energetic attitude
  • Self-starter, results driven and able to work independently
  • Ability to develop and maintain effective relationships with a broad group of stakeholders to foster trust and partnership
  • Ability to multi-task and is comfortable working in a deadline-driven environment
  • Proficiency in Microsoft Office Suite and Adobe InDesign is necessary.
  • Experience using a CRM (Unanet) software solution
  • 4-6 years of relevant experience.

Nice To Haves

  • AEC (Architecture, Engineering, Construction) experience preferred.
  • Open Asset experience required.
  • Knowledge of the architecture/engineering/construction industry a plus

Responsibilities

  • Maintain accurate and up-to-date personnel records within the CRM system, including titles, project experience, education, certifications, awards, and biographical information.
  • Manage the full lifecycle of employee resumes, including new employee onboarding, master and notable resume development, formatting, approvals, annual verification, and ongoing updates.
  • Maintain Resume Update Master List and ensure version control across all personnel assets.
  • Coordinate professional headshots and employee announcements as needed.
  • Track promotions, departures, and organizational updates within marketing systems.
  • Collect and preserve personnel milestones, stories, and historical information to support branding, recruitment, and corporate storytelling initiatives.
  • Maintain and update personnel profiles on the company website, as appropriate, to ensur
  • Maintain accurate and searchable project records within CRM and internal systems.
  • Develop and update project sheets, team narratives, and relevancy matrices for marketing and proposal use.
  • Maintain master project listings, reference contacts, and sustainable/LEED project tracking.
  • Coordinate and archive project photography and supporting documentation.
  • Collect and document project milestones, awards, and success stories to strengthen future marketing efforts via consistent project team interviews, discussions, and site visits.
  • Maintain and update project listings and project profiles on the company website, ensuring content, photography, statistics, and narratives reflect current and approved marketing materials.
  • Support the Proposal Manager and Proposal Specialist on major and complex pursuits.
  • Prepare and update resumes, project sheets, and team narratives for proposals.
  • Track proposal content in CRM and archive final submissions appropriately.
  • Maintain organized, reusable boilerplate content to improve efficiency and consistency and upload to ShredAI platform.
  • Use approved LLM tools (e.g., AI) to improve efficiency and quality of marketing and proposal content.
  • Maintain responsible AI standards to ensure brand alignment, accuracy, confidentiality, and compliance.
  • Review all AI-generated content before release and support team adoption through training and workflow integration.
  • Maintain marketing asset tracking systems, including awards listings and sustainability records.
  • Ensure file governance, version control, and structured digital asset organization.
  • Support cross-functional collaboration with Business Development, leadership, and technical teams.
  • Maintain consistency and brand standards across all marketing materials.
  • Continuously improve asset management systems and workflows to support operational efficiency.
  • Maintain and update website content to ensure timely and accurate representation of company information, including personnel updates, project milestones, awards, company timeline updates, culture initiatives, press releases, and career opportunities.
