This role supports the CMO, Marketing Managers, Events Specialist, and Go-to-Market (Industry & Service Line) team members in delivering best-in-class event and content experiences for the Firms’ audiences, including, but not limited to prospects, clients, business contacts, community networks, chambers and like organizations, technology partners, prospective talent, and more. The Events Coordinator should support the events and sponsorships function of marketing by assisting in the planning, promotion, and execution of our events, firm wide. Events may include internal meetings, external conferences and seminars, trade shows and exhibitions, webinars, CPE education events, recruiting events, awards galas, philanthropy events, and other community-based events. Office Expectations/Hours: General work schedule is 8:00am – 5:00pm/9:00am – 6:00pm with additional hours as needed which may include mornings, evenings, and weekends; adjusted based on week’s events and travel needed. Travel: 25% (primarily in the state of Texas) Location: Dallas, Fort Worth, or Plano office How Will You Make an Impact? Event Planning, Logistics & Execution Support : Support the execution of events and sponsorship project plans including the coordination of logistics, sourcing, set-up, facilitation, and breakdown both in person and virtually. The Events Coordinator should project manage deliverables throughout their lifecycle as they travel through the marketing team and vendors, ensuring all event details are executed flawlessly, with direct responsibility for elevating the attendee experience. Vendor Sourcing and Stakeholder Coordination : Source vendors and other outsourced event needs such as food and beverage, promotional items, entertainment, A/V and more. Should also coordinate with internal stakeholders to ensure all event and content needs are met, on budget and on time, and that the proper parties are consulted with and apprised of progress along the way. Promotion Support : Work with marketing and growth team members to promote events through appropriate channels, such as social media, email campaigns, and the company website(s. Help recommend and implement strategies to increase content efficacy and engagement as well as event attendance. Content Development : Assist with content ideation, writing, shooting/interviewing, developing, reviewing, and scheduling for various social media channels to promote events prior-to, on site, and post-events. Performance Reporting & Other Administrative Duties : Track event attendance, content performance, and overall campaign effectiveness. Generate post-event satisfaction surveys and post-mortem meetings to collect feedback and work with the Events Specialist and Managers to implement new strategies and improvements. Conduct other standing administrative duties such as event spend, ticket pipeline documentation, and project management reconciliation. How Will You Get Here? Bachelor’s degree in Management, Marketing, Communications other related field. Recommended 3+ years of marketing, communications and social media experience, preferably with a background in event planning and management. Experience with Cvent or other event management platforms required. Experience working with HubSpot or other marketing automation system is a plus. Experience in creating and editing various social media graphics in tools such as Canva is a plus. Project coordination experience within a tool such as Asana, Monday.com, Trello, etc. is a plus.
