About The Position

This position provides high-level administrative support to the Executive Team, CEO, and Board of Directors while maintaining strict confidentiality. Responsibilities include managing executive calendars, coordinating meetings, preparing agendas and materials, and recording meeting minutes. The role also supports internal communications by assisting with the development and design of messaging for employees and leadership. Additional duties include overseeing organizational document management across all entities, coordinating meeting logistics such as room setup and catering, and ensuring timely sorting and distribution of organizational mail. The position contributes to graphic design projects and provides project management support to the Executive Team as needed, along with handling other administrative tasks as they arise.

Requirements

  • High school diploma or equivalent
  • 3+ years of administrative support experience, preferably supporting senior leadership
  • Strong organizational and time management skills with the ability to prioritize multiple tasks
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience managing calendars, scheduling meetings, and coordinating logistics
  • Ability to handle sensitive and confidential information with discretion
  • Strong attention to detail and accuracy
  • Ability to work independently and as part of a team

Nice To Haves

  • Associate’s or bachelor’s degree in business administration, communications, or a related field
  • Experience supporting an executive team, CEO, or board of directors
  • Experience with meeting minutes, agenda preparation, and board materials
  • Graphic design experience (e.g., Canva, Adobe Creative Suite, or similar tools)
  • Project management experience or familiarity with project tracking tools
  • Experience with document management systems or records management
  • Familiarity with internal communications or employee engagement initiatives
  • Experience working in a nonprofit or multi-entity organization
