About The Position

The Manager of Advancement Support is a key leadership role within the Advancement Department and will work closely under the supervision and direction of the Vice President of Advancement. This position will be responsible for the efficient, accurate, and strategic management of all operational and administrative functions that enable philanthropic growth. This position oversees gift processing, database management, event logistics, and administrative support while coordinating the transition to a new Donor Relationship Management (CRM) system. Reporting directly to the Vice President of Advancement, the Manager of Advancement Support will implement new programs as directed and help position the department for increased fundraising success. As the department grows, this role will increasingly contribute to frontline fundraising activities. This position will allow one to impact others through a service mindset centered on making an eternal difference. Requirements

  • Must be able to work a minimum of 40 hours/week
  • Bachelor’s degree in marketing, communications, or a similar field
  • A minimum of 5 years of progressive advancement experience, or an equivalent combination of related experience and education
  • A minimum of 5 years of relevant management experience
  • A track record of developing and managing successful advancement activities
  • Knowledge and previous use of donor software
  • Outstanding interpersonal skills and the proven ability to work with diverse groups
  • Excellent verbal and written communications
  • Strong management skills

Responsibilities

  • Supervise and mentor Advancement team members responsible for gift processing, data entry/maintenance, event coordination, and administrative support.
  • Foster a culture of accuracy, timeliness, customer service, and continuous improvement within the Advancement team.
  • Develop, document, and enforce policies and procedures for gift recording, acknowledgment, receipting, reconciliation, and reporting in compliance with IRS regulations and best practices.
  • Serve as project leader for the selection and full implementation of a new donor database system.
  • Oversee data migration, cleanup, staff training, and the establishment of new workflows.
  • Continued management of donor database, including records maintenance.
  • Design and implement dashboards, reports, and analytics that provide actionable insights to the Vice President of Advancement and fundraising staff.
  • Ensure data integrity, security, and segmentation strategies that support major gifts, annual giving, planned giving, and ministry partnerships.
  • Oversee staff responsible for the logistics, budgeting, vendor relationships, registration, and on-site execution for various fundraising events as directed by the Vice President of Advancement.
  • Manage acknowledgment processes to ensure donors receive timely, accurate, personalized recognition.
  • Develop and prepare reports as needed.
  • Collaborate with VP of Advancement to develop and execute new programs and strategic campaigns for engaging new donors, donor acquisition, and donor retention.
  • Provide insights and recommendations based on CRM data analysis.
  • Analyze and evaluate fundraising program performance and return on investment, including individual giving, mid-level donor program, major gifts, planned gifts, and special events.
  • Provide necessary administrative support to Advancement team members directly responsible for fundraising, and ensure all necessary documentation remains current.
  • As capacity allows and the department evolves, assume direct fundraising responsibilities in close partnership with the Vice President of Advancement.
  • Partner with the Finance Department on monthly and annual reconciliation of gifts.
  • Responsible for implementing and updating annual donor communications calendar.
  • Assist in the creation and implementation of personalized donor engagement plans.
  • Utilize CRM data to tailor communication strategies and outreach efforts to enhance donor relationships.
  • Serve as project manager overseeing the monthly fundraising letter to ensure that it is completed in a timely manner and all tasks are completed as necessary.
  • Quarterly review SOPs developed by team members to ensure current accuracy and update as needed.
  • Assist Vice President of Advancement as needed with hosting special guests on site.
  • And all other duties and responsibilities assigned by management.
