About The Position

The Manager, HIIM Data Integrity oversees the daily operations of the Data Integrity team to ensure the accuracy, completeness, and integrity of medical record documentation across all facilities. This role is responsible for managing workflow assignments, conducting quality audits, and ensuring compliance with federal, state, and organizational standards. The Manager monitors staff performance, provides training and coaching, and partners with facility leadership to resolve documentation, indexing, and imaging quality issues. The Manager plays a critical role in maintaining the integrity of the legal medical record and ensuring consistent data quality across all systems.

Requirements

  • Associate Degree in Health Information Management or related healthcare field required
  • 3-5 years of experience in Health Information Management or medical record data integrity required
  • 1-3 years of experience in a supervisory or lead capacity preferred
  • A combination of education and significant experience in Health Information Management may be considered in lieu of degree
  • Strong knowledge of health information management standards, regulatory compliance, and documentation validation processes.
  • Proficiency in electronic health record (EHR) systems, scanning/indexing workflows, and deficiency management tools.
  • Excellent organizational and analytical skills with the ability to identify and resolve data integrity issues.
  • Strong communication and interpersonal skills, with the ability to effectively collaborate across teams and departments.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and relevant data reporting applications.
  • RHIT - Registered Health Information Technician required

Nice To Haves

  • Bachelor's Degree in Health Information Management, Health Informatics, or related field preferred
  • RHIA - Registered Health Information Administrator preferred

Responsibilities

  • Manages daily operations of the Data Integrity team, including staff supervision, work assignments, task prioritization, and queue management to ensure timely completion of all documentation validation and analysis functions.
  • Monitors productivity, turnaround times, and quality performance metrics; prepares and reviews reports to identify trends and areas for improvement.
  • Monitor staffing needs based on work volume, workload trends, and performance metrics; recommend and implement staffing adjustments to ensure timely and accurate completion of all data integrity functions.
  • Leads process improvement initiatives to enhance data quality and operational efficiency.
  • Conducts regular quality audits of scanned and interfaced medical records to verify accuracy, completeness, and image quality (orientation, legibility, color).
  • Ensures adherence to HIM documentation requirements, including provider authentication, signature/date accuracy, and compliance with regulatory and organizational standards.
  • Oversees chart validation, document indexing, and deficiency assignment processes to ensure records are appropriately linked to the correct patient, facility, and document type.
  • Tracks and trends recurring documentation issues and develops targeted educational initiatives and workflow improvements to address root causes.
  • Collaborates with facility HIM Directors, clinical departments, and IT partners to resolve data integrity issues, missing documentation, and workflow inefficiencies.
  • Manages competency assessments, quarterly performance discussions, and annual evaluations for team members.
  • Ensures compliance with all HIM policies and procedures, regulatory standards, and internal audit requirements for documentation accuracy and data integrity.
