Requirements

  • High School Diploma or GED required.
  • 1+ year of administrative experience in an office setting.
  • Strong interpersonal and communication skills.
  • Excellent organization and ability to manage multiple priorities with accuracy.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfort using modern workplace technology tools.
  • Professional demeanor, reliability, and pride in delivering exceptional service.

Responsibilities

  • Serve as the first point of contact for visitors, calls, and emails, delivering a professional, welcoming, and efficient experience.
  • Create a seamless and memorable interaction for every guest, whether in person or virtually.
  • Manage call routing and front desk communications with strong phone professionalism.
  • Coordinate meeting logistics, visitor needs, and conference room setup.
  • Maintain reception and shared spaces so they remain tidy, inviting, and thoughtfully enhanced.
  • Help foster a welcoming, inclusive office environment where people feel cared for and supported.
  • Support logistics for company meetings, celebrations, and special initiatives.
  • Sort and distribute mail, manage deliveries, and maintain office and kitchen supplies.
  • Keep shared spaces organized, stocked, and running smoothly.
  • Serve as a flexible, dependable resource across Group Services teams as priorities shift.
  • Assist Business Development with client meeting preparation, scheduling, and coordination of client-facing events such as ribbon cuttings, groundbreakings, and milestone celebrations.
  • Provide logistical support for Talent, Engagement, and training initiatives during peak periods.
  • Finance: Scan and distribute invoices, lien waivers, and notices; maintain logs of incoming checks and licensing documentation.
  • Risk: Organize insurance and compliance materials and track renewal deadlines.
  • Talent: Support onboarding logistics, training coordination, compliance tracking, and engagement surveys.
