About The Position

The Manager, Faculty Affairs in the School of Medicine (SOM) Dean’s Office will manage the day-to-day operations of the committee office including oversight of the SOM standing committees, the annual election with ~900 faculty and Faculty Affairs Coordinator, managing continuous improvement strategies, and fostering strong business relationships with internal and external stakeholders. This includes directing the operations of the PAT Committee, Faculty Forum, Performance, Criteria and Policies Committee, and Academic Grievance Committee. This position serves as the primary resource to the 23 Departments in the School of Medicine for the Review, Promotion, and Tenure module of Interfolio which includes development, training and technical support. They will work in collaboration with the Office of Faculty Affairs and Advancement leadership in efforts to meet Work Strategic Plan goals at the UofL School of Medicine and should be prepared to engage and contribute in the school’s mission, vision and values to foster an environment that is supportive of all faculty, residents, fellows and students. This position will report to the Director and work closely with the Assistant Dean and Vice Dean of Faculty Affairs and Advancement.

Requirements

  • Master's degree in a related field and two (2) years of relevant experience or an equivalent combination of education and experience.

  • Proficient in MS Outlook, Word, Excel, PowerPoint, and Access.
  • Proficient in the Interfolio RPT module which includes developing and maintaining workflows.
  • Effective oral, written and interpersonal communication skills.

Responsibilities

  • Development, implementation and ongoing support, of the Interfolio RPT system to include: creating, maintaining and modifying more than 50 template workflows of the RPT (review, promotion and tenure) module for the 23 departments within the School of Medicine.
  • Manage the Faculty Affairs Coordinator, ensuring data and documentation accuracy and providing guidance and support as needed.
  • Oversee the promotion process by serving as the subject matter expert of Interfolio RPT in the School of Medicine.
  • Manage the PAT (promotion, appointment and tenure) Committee for Advanced Rank Faculty processing new faculty appointment reviews at the Advanced Rank level (Associate Professor or Professor, with or without tenure), promotions/tenure actions, and five-year reviews of tenured faculty.
  • Develop and manage initial, periodic and ongoing training sessions with PAT Faculty, Vice Dean of Faculty Affairs and SOM department staff for proper use of the Interfolio system as well as conducting annual PAT committee orientation.
  • Develop and manage communication and deliverables associated with assessing promotion and tenure eligibility and success.
  • Manage evaluations regarding eligibility of faculty promotion, appointment, and tenure and advising the Vice Dean of Faculty Affairs and the PAT committee.
  • Creates and manages the SOM standing committee elections.
  • Maintain the SOM bylaws and Promotion, Appointment and Tenure policy and provides interpretation of these documents to the SOM department staff.
  • Consult with and advise PAT committee members and the Vice Dean of Faculty Affairs on the SOM bylaws and summary criteria.
  • Create summary document based on criteria in SOM promotions document to assist faculty in preparation of documents and PAT committee members in promotion reviews, and revise document as needed based on future changes in PAT document criteria.
  • Develop template personal statement letters based on criteria in SOM promotions document that reflect candidate’s major work assignment area, academic track, and promotion level.
  • Review, interpret, and prepare proposed revisions to the Bylaws and PAT policy for approval from the various committees including the performance, criteria, and policies committee, faculty forum, and the executive faculty monitoring the final approvals up to the Board of Trustees if applicable.
  • Manage monthly faculty forum and bi-annual executive faculty meetings.
  • Manage Academic grievances to include interpreting policies, maintaining strict University timeline for processing and directly consulting with General Counsel as needed.
  • Manage faculty and trainee programs and initiatives that support a positive faculty/trainee climate, and faculty/trainee wellness with the goal of increasing recruitment and retention of faculty in the School of Medicine.
  • Create a faculty recruitment plan that will include (a) developing an in-person trainee recruitment visitation program, (b) crafting opportunities for UofL trainees to explore career options here at UofL, and (c) implementing a strategy for visiting and reaching out to trainees across the nation, and (d) execute plan for recruiting faculty at other institutions.
  • Create and coordinate a Faculty Development Program that will be geared toward faculty retention in the School of Medicine.
  • Manage the Faculty and Trainee Mentorship program and create relationships with partners across the Health Science Center (campus) to maintain the mentorship networks.
  • Build and maintain relationships with business partners on Belknap campus to create professional networking opportunities in the city of Louisville, specifically for faculty and trainees.
