About The Position

The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position. The Manager of Event Services is responsible for the strategic planning, coordination, and execution of high-impact events that support the University Advancement mission, including fundraising, donor cultivation, stewardship, and alumni engagement. This role ensures the delivery of exceptional event experiences that strengthen relationships with donors, prospects, alumni, and key stakeholders while elevating the institution’s brand and visibility. This is an on site position. Reporting to Advancement leadership, the Manager oversees all aspects of event operations from concept development through post-event evaluation while managing budgets, vendor partnerships, and cross-functional collaboration. The position works closely with Development Officers, Alumni Relations and Advancement Services to design events that advance donor strategies and enhance engagement across the giving pipeline. This role requires a high level of organization, attention to detail, and the ability to manage multiple complex projects simultaneously. The Manager of Event Services plays a critical role in ensuring seamless execution, fostering strong internal and external partnerships, and contributing to the overall success of fundraising and engagement initiatives within University Advancement.

Requirements

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Five years of related experience.
  • Knowledge of event planning and management within a higher education or nonprofit advancement environment.
  • Understanding of donor relations, fundraising principles, and stewardship strategies.
  • Knowledge of budgeting, contract negotiation, and financial management practices.
  • Familiarity with event technologies, registration systems, and CRM databases (e.g., donor management systems).
  • Understanding of branding, marketing, and communications as it relates to events.
  • Strong project management and organizational skills with the ability to manage multiple events simultaneously.
  • Excellent verbal and written communication skills.
  • High-level interpersonal skills with the ability to engage effectively with donors, executives, and stakeholders.
  • Budget management and financial tracking skills.
  • Vendor negotiation and relationship management skills.
  • Problem-solving and decision-making skills, especially in fast-paced event environments.

  • Proficiency in Microsoft Office Suite and event management/CRM software.
  • Ability to plan, coordinate, and execute complex events from concept to completion.

  • Ability to exercise sound judgment, discretion, and professionalism, particularly when working with high-level donors and leadership.

  • Ability to work flexible hours, including evenings and weekends, as required for events.

Responsibilities

  • Plan annual event calendars, including donor recognition events, campus visits, alumni, annual giving and cultivation events.
  • Oversee end-to-end event logistics: venue selections, catering, audiovisual, deco, transportation and staffing,
  • Manage timelines, run-of-show documents, and on-site coordination,
  • Ensure events are executed at high level of professionalism, excellence and reflect the university’s brand.
  • Develop and manage event budgets; track expenses and ensure cost efficiency, negotiate contracts with vendors and venues.
  • Build & maintain relationships with vendors, venue and service providers.
  • Ensure compliance with university financial policies and procedures to include: procurement, contracts, Procard and travel.
  • Serve as primary liaison for all event-related partnerships.
  • Develop and implement a comprehensive events strategy aligned with University Advancement goals (fundraising, donor stewardship, alumni engagement and annual fund).
  • Performs other duties as assigned.
