About The Position

The Manager, Client Operations plays a key role in driving operational excellence on a high-profile pharmaceutical account. Reporting to the Group Director of Client Operations, this role oversees day-to-day project management, process design, and platform adoption across teams, while managing junior team members. As the central liaison between client teams, internal departments, and platform partners (including Asana, MediaTools and InterACT), the Manager ensures workflows are clearly documented, standardized, and executed with consistency and timeliness. A major focus of this role is overseeing the ongoing taxonomy initiative, project managing various workstreams and projects utilizing Asana, assisting in the creative asset handling process (including QA), and contributing to the development and maintenance of process playbooks. The ideal candidate brings a strong background in media operations, is comfortable navigating complex cross-functional workflows, and is proactive in identifying process inefficiencies. This role is instrumental in fostering collaboration, tracking progress on deliverables, and ensuring teams adhere to deadlines and data compliance standards.

Requirements

  • 3-5 years' experience in media industry
  • Strong project management skills, with hands-on experience using tools like Asana or similar platforms
  • Highly organized with excellent attention to detail and the ability to manage multiple tasks in a fast-paced environment
  • Strong time management and prioritization skills under tight deadlines
  • Excellent verbal and written communication skills, including experience presenting to or consulting with clients
  • Strong analytical and problem-solving abilities, with a systems-thinking mindset and ability to identify operational inefficiencies
  • Proficient in Excel, (i.e. common formulas, pivot tables, etc.)
  • Comfortable collaborating across departments (e.g., investment, planning, analytics, adops)

Nice To Haves

  • Experience managing or mentoring team members
  • Experience working in or managing off-shore teams, including training and alignment on ways of working
  • Familiarity with pharma or healthcare accounts and compliance-related workflows
  • Experience with project management tools (e.g., Asana, Smartsheet) and media buying systems (e.g., Prisma, MBOX)
  • Prior involvement in taxonomy governance or naming convention

Responsibilities

  • Serve as the taxonomy manager for the account, overseeing taxonomy governance across all channels and ensuring adherence to client data standards and naming conventions
  • Conduct monthly taxonomy QA audits, ensuring accuracy and completeness, and follow up with teams to drive timely corrections and compliance
  • Lead project management across operational workstreams using tools like Asana, maintaining visibility on deliverables and ensuring deadlines are met
  • Troubleshoot taxonomy and MediaTools-related issues, working with internal teams and platform partners to resolve discrepancies efficiently
  • Manage and maintain operational processes including MediaTools process and creative asset intake and QA
  • Identify and implement process improvements across workflows, in collaboration with Client Operations colleagues and cross-functional teams
  • Maintain and update process documentation (e.g., playbooks), and develop training materials to support onboarding and platform/tool adoption
  • Act as a liaison between media, analytics, investment, and tech teams to ensure clean data pass-through and alignment on deliverables
  • Represent the operations function in client and internal meetings, offering clear insights into tools, technology, and workflow enhancements
  • Mentor and guide junior team members, delegating tasks and fostering professional development
  • Collaborate with cross-functional teams to identify and implement process improvements that drive efficiency, standardization, and data integrity
