About The Position

Provides high‑level administrative support while serving as the operational and supervisory extension of the Senior Manager, Administrative Services. The manager exercises advanced judgment, maintains deep knowledge of organizational priorities and policies, supports administrative operations, and helps elevate the effectiveness, confidence, and cohesion of the EA team.

Requirements

  • 5+ years of high‑level administrative support experience; prior experience supporting VP level or higher executives typically required.
  • Experience mentoring, coaching, or supervising strongly preferred.
  • Demonstrated ability to manage highly complex calendars and confidential information with discretion.
  • Strong understanding of corporate policies, organizational dynamics, and administrative operations.
  • Expert‑level proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint).
  • Excellent interpersonal, communication, and relationship‑building skills at all levels of the organization.
  • Ability to pivot quickly, make decisions independently, and coordinate multiple priorities in a fast‑paced environment.
  • High emotional intelligence, professionalism, and capacity to lead by example.

Responsibilities

  • Providing real‑time guidance, coaching, and support to Executive Assistants on scheduling issues, administrative questions, communication standards, and workload challenges.
  • Participating in onboarding and training new EAs; reinforcing best practices, policies, and operating procedures.
  • Monitoring team workload and helping identify imbalance, resource gaps, or burnout risks.
  • Assisting in reassignment of executives or responsibilities based on organizational needs and staffing changes.
  • Serving as the first point of escalation for day‑to‑day scheduling emergencies, administrative challenges, or conflicts before escalating further.
  • Helping maintain consistency in tools, templates, processes, and communication standards across the EA team.
  • Supporting creation, updating, and implementation of training materials, knowledge resources, and standard operating procedures.
  • Acting as a peer mentor and culture leader within the EA team—modeling professionalism, confidentiality, and proactive problem solving.
  • Provide high‑level administrative support to leaders when serving in a floater or backup capacity.
  • Manage complex calendars, including prioritization, resolve conflicts, and align scheduling with strategic priorities.
  • Coordinate meetings, events, agendas, materials, and follow‑up actions; ensure leaders are well‑prepared and organized.
  • Prepare executive correspondence, presentations, and communication on behalf of supported leaders.
  • Maintain confidentiality and manage sensitive matters with discretion and sound judgment.
  • Interpret and communicate executive intent clearly to stakeholders, directors, and managers across the organization.
