About The Position

Supports the goals and objectives of the Office of Education (OE), provides a high level of service and contributes to defining and maintaining best practices of management across domains of administration and human resources for the Office of Education. In collaboration with Director of Education Administration, seeks to maintain a culture of accountability by seeking points of interface and integration throughout the medical education continuum. Implements and contributes to the maintenance of standard processes, project templates, tools, and guidelines to support the application of a standard policies, developmental programming, and project management methodologies across the Office of Education. Has primary oversight of relevant human resource information systems and administrative transactions, and shared oversight of risk mitigation activities for the entirety of the Medical Education enterprise. Supports and leads operational efficiency efforts to maintain a sustainable work environment.

Responsibilities

  • Supports a full range of administrative and human resources functions for the Office of Education in a manner that is aligned with operational and capital budgets, WUSM, and the Office of Education’s strategies and goals.
  • Assists Director of Education Administration and Leadership Team in defining components of mission-based efforts, including participation in the assessment of required human capital, dedicated technology, physical space, and other expenses as necessary to support the Office of Education’s missions and vision.
  • Manages the Office of Education's Human Capital Management (HCM) functions.
  • Oversees bi-weekly and monthly payroll, stipend payments, data modifications, reporting, and other HCM-related tasks.
  • Coordinates recruitment processes with hiring managers, curates job descriptions and maintains OE’s job hierarchy in alignment with the distinct roles and responsibilities of the units supporting medical education.
  • Works to enhance the efficiency of internal and external HCM processes, including data changes and transaction management.
  • Collaborates with the Director of Finance to conduct cost allocation audits, ultimately responsible for the accuracy and maintenance of all OE cost allocations, ensuring effective communication of changes to external stakeholders as necessary.
  • Works in tandem with the Director of Education Administration to manage the administrative and people operations of the Office of Education.
  • Leads and contributes to various OE initiatives and projects, encompassing staff engagement, development, and retention strategies, streamlined onboarding procedures, internal OE policy review and creation, process documentation and mapping, strategic planning, and other needs as necessary in the support of OE's missions and objectives.
  • Collaborates with the Director of Education Administration to drive the execution of critical initiatives and activities in support of the Office of Education's missions and objectives.
  • Provides leadership to committees and projects related to OE initiatives, including but not limited to the development of comprehensive project plans detailing key data elements, task priorities and assignments, timelines, and milestones.
  • Manages project tasks crucial to success, anticipates changes in project scope, and proactively takes steps to reassess, renegotiate, and revise project responsibilities, proposals, contracts, and budgets.
  • As needed, provides cross-coverage to OE Finance team to support general financial transactions including, but not limited to, budget support, reporting, billing, etc.
