About The Position

The Administrative Office Manager provides high level administrative and operational support across multiple departments. The role prepares reports, presentations, correspondence, and handles confidential information. It coordinates daily business functions, supports departmental operations, and communicates with a wide range of internal and external stakeholders including hospital leadership, staff, patients, and outside partners. The position ensures compliance with established policies, procedures, and credentialing standards (including JC, CMS, NCQA, state, and federal regulations). Responsibilities also include general office operations, use of office technology, and overseeing marketing initiatives by developing and implementing strategic programs for target audiences. The manager contributes to overall organizational performance through effective planning and resource management. This position reports directly to the entity CEO and performs other assigned duties as needed.

Requirements

  • 2-3 years supervisory or manager experience in clinical or related field.
  • Associates degree or Equivalent Experience

Responsibilities

  • Oversees Medical Staff Services, including planning, organizing, and directing operations; manages priorities, resources, meeting minutes, quality documentation, and ensures compliance with JC standards.
  • Provides high level administrative support to the CEO, including assistance with special projects, performance improvement, and action plan implementation.
  • Builds strong, collaborative relationships with multidisciplinary teams and participates in team meetings to support patient care needs.
  • Assists the Director of Risk Management/Quality with policies related to compliance, quality, risk management, patient safety, and patient experience.
  • Applies evidence based practice and regulatory standards (CMS, JC, DNV, OSHA, etc.) in environmental assessments, observations of care, and policy development or revision.
  • Demonstrates commitment to professional development by attending educational events and professional meetings.
  • Participates in regulatory and compliance initiatives, including rounding on units to ensure adherence to standards.
  • Supports marketing initiatives by helping develop and implement communication strategies and market focused programs.
  • Contributes to strategic business planning through market analysis to identify optimal opportunities.
  • Monitors communication plans and campaigns to ensure timely, strategic execution aligned with organizational objectives.
  • Tracks project costs, ensuring budget compliance, accurate billing, and timely invoice processing.
  • Supports project management activities by organizing and maintaining project databases for effective tracking and completion.
  • Adheres to and reinforces departmental, entity, and system policies, procedures, guidelines, and standards.
  • Performs additional duties as assigned.
