About The Position

The Accounts Payable Manager manages the day-to-day activities in the organization’s accounts payable function. This role may be involved in accounts payable activities, reconciliations, journal entries, account analysis, audit support, and financial reporting. The Accounts Payable Manager and directs report(s) will be the first point of contact for day-to-day Accounts Payable issues.

Requirements

  • Bachelors Degree in Business, Accounting, Finance
  • 7+ years of experience in Accounts Payable roles
  • Prior management experience or in a similar supervisory role(s)
  • Leads and directs the work of other employees
  • Strong written and oral communication skills
  • Ability to manage and timely execute multiple projects and tasks
  • Strong organizational and analytical skills
  • Ability to establish and maintain effective working relationships internally and externally
  • Intermediate proficiency in Word and Excel
  • 6+ years’ experience using financial/accounting software platforms or ERP systems (i.e. Microsoft Dynamics, SAP, Horizon, Oracle, etc.)

Nice To Haves

  • 5+ years experience with W-8’s, W-9’s, and 1099’s
  • Relevant accounting experience within a publicly traded company

Responsibilities

  • Manages and directs a team of accounts payable staff members to ensure day to day tasks and operations are successful, efficient and are completed based off standard protocols. This includes but is not limited to:
  • Daily, monthly, annual performance review and monitoring
  • Skill and career development
  • Staffing and schedule management
  • Contingency planning
  • Supervises the accounts payable function to include but is not limited to:
  • Ensure accounts payables clerks that code expenses, verify and process invoices, and issue payments
  • Ensure department’s compliance with all company and department procedures
  • Work proactively with all departments in the company to support Microsoft Dynamic’s three-way matching function
  • Ensure that all reasonable discounts are taken on accounts payable
  • Ensure that invoices or other financial obligations are processed and paid in a timely manner
  • Maintain payment records and ensure that transactions are posted to the company ledger
  • Work with management to ensure that cash outflows align with company objectives
  • Execute regular review to identify duplicate payments, missing invoices, and discrepancies
  • Meet all closing procedures deadlines while ensuring compliance to procedural and reporting standards
  • Collaborate with various departments to help gather, analyze, summarize, and interpret data
  • Provide oversight of vendor account review and maintenance including:
  • Reviewing all new vendor account setups and changes to existing vendor setups
  • Evaluating current Microsoft Dynamics vendor accounts setup to identify opportunities for improvement and implement any identified changes
  • Complete and file periodic and ad hoc reports including but not limited to:
  • Tax returns (e.g.1099, W8, or W9)
  • Special requests
  • Assist in internal and external audit exercises by:
  • Creating and maintaining departmental procedures that are in compliance with JSOX, or SOX, and IFRS requirements
  • Preparing and providing documentation for audit requests
  • Researching and resolving discrepancies or issues that arise during the audit
  • Completing audit confirmations
  • Maintain current knowledge of all proposed and existing legislation to ensure the exercise of accounting best practices
  • Asses as-needed operational efficiencies related to the accounts payable process. Provide recommendations/ vision for improvements and or efficiencies. Work with direct reports and various departments and leaders to execute on approved measures
  • Participate in various educational opportunities and attend various conferences and update knowledge
  • Provide assistance and expertise for ad hoc projects
  • Other duties as assigned by supervisor
