The CMMS Maintenance Planner & Work Order Coordinator is responsible for overseeing the Computerized Maintenance Management System (CMMS) to ensure that preventive maintenance (PM) tasks and reactive work orders are accurately created, assigned, tracked, and completed. This role balances day to day work order management with strategic planning of future maintenance activities, supporting reliable asset performance and optimal resource utilization. Maintain the integrity of the CMMS database (equipment records, spare part inventories, PM schedules, and work order histories). Perform regular data audits, clean ups, and updates to ensure accuracy. Receive, review, and prioritize incoming reactive work orders. Assign work orders to the appropriate technicians or crews based on skill set, availability, and workload. Monitor work order status, send reminders, and close out completed orders with proper documentation. Develop and maintain PM schedules aligned with manufacturer recommendations, regulatory requirements, and organizational objectives. Generate PM work orders in advance and ensure they are dispatched timely. Track key metrics (e.g., mean time to repair, work order backlog, PM compliance). Produce regular reports for maintenance managers and stakeholders, highlighting trends, bottlenecks, and opportunities for improvement. Identify recurring issues and recommend process or equipment changes to reduce reactive maintenance. Assist in evaluating and implementing CMMS enhancements, upgrades, or integrations with other enterprise systems (e.g., ERP, IoT sensors). Serve as the primary point of contact between the maintenance team, operations, and external vendors. Provide training and support to users on CMMS best practices. Participate in long term maintenance strategy sessions, forecasting labor, material, and budget needs. Develop work order pipelines for upcoming projects, shutdowns, or capital improvement plans.
