What this job involves The Mailroom Supervisor is responsible for opening, sorting, and distributing incoming mail, collecting outgoing mail, and maintaining electronic logs and files pertaining to mail processing. This supervisory role requires operational excellence and professionalism while performing related tasks to help maintain outstanding business relationships with clients. The position involves overseeing mailroom and reception staff, managing facility work orders, and ensuring efficient mail processing operations.

Requirements

  • High school diploma required
  • At least two years of experience in related skills applicable to corporate mailroom operations
  • Knowledge of current postal codes, procedures, and regulations
  • Experience with UPS, Federal Express, and courier services
  • Proficiency in Microsoft Excel and Word
  • Demonstrated reception and mailroom supervisory or leadership experience
  • Day-to-day site operations

Nice To Haves

  • Associate’s degree
  • Previous experience in facility management or work order systems
  • Customer service experience in corporate or business environment
  • Experience with bulk mail processing and special mailing requirements
  • Knowledge of mailroom equipment operation and maintenance
  • Strong organizational and time management skills
  • Experience mentoring, developing, and training team members

Responsibilities

  • Maintain logs for incoming mail from vendors, mail delivery to customers, and all packages
  • Process and handle all incoming and outgoing mail, ensuring proper routing and labeling
  • Screen unclassified mail and determine appropriate distribution
  • Handle special request mail responsibilities including UPS, Federal Express, and courier services
  • Manage facilities requests in the account work order system and schedule teamwork for moves, dock activity, and event setup/teardown
  • Supervise Mailroom Clerks and Drivers, providing clear expectations, accountability, and performance feedback
  • Research and follow-up with customers regarding tracking mail and packages
