Job Overview The Mailroom Associate is responsible for receiving, sorting, processing, and distributing incoming and outgoing mail, packages, and correspondence while maintaining accurate tracking and operational efficiency. This role also supports office services functions such as supply management, workplace support tasks, and assisting with conference room setups or office moves when needed.

Requirements

  • High School Diploma or equivalent
  • Strong customer service and communication skills
  • Ability to work in a fast-paced corporate environment
  • Strong attention to detail and accuracy
  • Basic computer proficiency and familiarity with Microsoft Office tools
  • Ability to manage multiple tasks and prioritize responsibilities
  • Ability to lift and carry packages up to 50 lbs.
  • Ability to walk throughout the facility to distribute mail and supplies
  • Ability to stand for extended periods while processing shipments
  • Manual dexterity for operating mailroom and office equipment

Nice To Haves

  • 2+ years of experience in a corporate mailroom, logistics, or facilities environment
  • Experience with shipping carriers such as USPS, UPS, and FedEx
  • Familiarity with mail tracking systems or logistics software
  • Working knowledge of Multi-Functional Device (MFD) equipment
  • Strong verbal and written communication skills

Responsibilities

  • Receive, sort, and distribute incoming mail, packages, and interoffice correspondence
  • Prepare, package, and process outgoing shipments using carriers such as USPS, UPS, FedEx, and other courier services
  • Maintain accurate tracking records for all incoming and outgoing packages
  • Ensure timely delivery and accountability of shipments across the organization
  • Operate mailroom equipment including postage meters, label printers, scanners, copiers, and other office devices
  • Verify shipping documentation, packing materials, and shipment accuracy
  • Maintain a clean, organized, and secure mailroom environment
  • Monitor inventory levels of office supplies and replenish supply closets and distribution areas
  • Assist with conference room setups and workplace support activities
  • Support office moves or workplace logistics tasks when needed
  • Provide friendly and responsive customer service to employees, vendors, and visitors
  • Ensure compliance with company security procedures when handling confidential documents
  • Support team operations by assisting with additional tasks or projects as assigned
  • Maintain professionalism and represent SPS with a strong service mindset
