Requirements

  • High school diploma or equivalent
  • 2–3 years of experience in mail services, logistics
  • Prior supervisory or team leadership experience
  • Strong organizational and time-management skills
  • Experience with mailroom automation systems or logistics software
  • Proficient in Microsoft Office Software (Word, Excel, Outlook)
  • Strong problem-solving and decision-making abilities
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Must be able to lift 50 lbs.
  • Business casual dress
  • Mail processing accuracy and turnaround time.
  • Proven ability to remain calm under pressure; resilient.
  • Assertive and resourceful; motivated; willing to ask questions and take initiative without direction.
  • Customer/internal client satisfaction.

Responsibilities

  • Supervise daily mailroom operations, including sorting, distribution, pickup, and delivery of mail and parcels.
  • Ensure timely processing of incoming/outgoing shipments.
  • Monitor workflow to maintain efficiency and meet service-level agreements.
  • Lead, train, and schedule mailroom staff.
  • Assign tasks and monitor employee performance.
  • Ensure adherence to safety procedures and workplace standards.
  • Coordinate courier services and internal delivery routes.
  • Track packages and resolve delivery issues or delays.
  • Maintain relationships with shipping vendors and service providers.
  • Manage bulk mailings and special delivery projects.
  • Maintain confidentiality and security of sensitive mail.
  • Enforce proper handling of certified, registered, and confidential materials.
  • Ensure compliance with postal regulations, company policies, and legal requirements.
  • Oversee inventory of mailroom supplies (labels, postage, packaging materials).
  • Manage postage meters and shipping systems.
  • Ensure equipment maintenance and troubleshoot operational issues.
