Summary: The Mail Services Associate Lead oversees daily mail operations, serving as the primary contact for a single‑person site while managing sorting, delivery, package tracking, and outbound shipments. This role ensures accurate logging, compliance with postal regulations, and timely resolution of issues, while maintaining inventory, preparing reports, and supporting customers with mailing needs. The lead provides direction, troubleshoots routine problems, coordinates with management and vendors, and upholds high standards of service, organization, and confidentiality.

Requirements

  • Must have previous Lead experience
  • Must have Good Email and writing skills
  • Must be able to Multitask
  • High School diploma or G.E.D certificate.
  • Must have 3-5 years' experience in the mail room or experience at FedEx, UPS
  • At least 1-3 years in computer skills required MS-Office: Word, Excel, Outlook and Power Point.
  • Excellent communication skills and ability to give direction to team

Responsibilities

  • Act as primary contact for a single person operation
  • Oversee the inspections of mail for suspicious or threatening mail and separate mail by different types.
  • Supervise fine sorting of inbound mail by name and mail stop and adhere to daily scheduled mail runs.
  • Pick up, sort mail, and deliver inter-office mail accurately to appropriate customers at scheduled times.
  • Ensure all inbound packages are entered into the automated receiving system.
  • Assist customers with their mailing needs, offering clear and concise solutions.
  • Oversee the system to track misdirected or lost packages.
  • Prepare documentation associated with special mail handling.
  • Maintain records and enter activity data in logs.
  • Deliver overnight courier envelopes to recipients. Prepare and process outbound courier shipments using computer or service provider's equipment such as UPS.
  • Ensure all outbound packages are properly recorded and all required documentation is in order and/or attached. Maintain time, volume and delivery records.
  • Verify all messenger packages are entered into the automated receiving system
  • Ability to troubleshoot routine problems and offer solutions to fix errors.
  • Track and maintain records and logs of inbound and outbound mailings.
  • Sort, distribute and collect US mail, USPS, UPS, DHL and FedEx mail.
  • Able to appropriately handle confidential and highly sensitive material.
  • Receive and process inbound/outbound Overnight Carrier's shipments
  • Compile daily/weekly/monthly reports by exporting/formatting data to excel - Proficient in Excel
  • Initiates Inventory Cycle Counts weekly/monthly/yearly and make adjustments where applicable
  • Researches, recommends and initiates the disposal of obsolete inventory stock items
  • Make changes and adjustments to Bin Locations
  • Required working knowledge of postal regulations.
  • Work closely with Operations Manager and to deliver excellent service to the customer.
  • Escort outside vendors and contractors that are performing inside work when necessary.
