About The Position

Full-time position available on or after March 2, 2026 for the Mail Services department. Under immediate supervision of Support Services Manager, Mail Clerk will handle the collection, sorting, and distribution of campus and United States mail, as well as other materials. Incumbent will also perform work involving the receipt, checking, storage, inventory, issuance, and delivery of records, equipment, and supplies, along with preparing and filing associated forms. Services for this area fall under the larger umbrella of Support Service, that not only include Mail Room but also Print Shop and Property Control for Stanislaus State campus. Job Duties Duties include but are not limited to: Make campus mail pickups and deliveries. Receive, sort, and distribute campus mail, United States mail, files, and packages. Sort mail based on predetermined criteria (e.g., by department or individual). Ensure misdirected mail is forwarded to the correct recipient. Deliver sorted mail to appropriate campus locations or individuals. Collect, weigh, and apply postage to outgoing mail. Prepare outgoing mail for the US Post Office, including sorting and running it through postage meter machines. Use mail sorting machines, scanners, and other relevant technology. Prepare and handle UPS and Stamps.com outgoing mail and parcels using appropriate packaging solutions and software. Prepare bulk mailings, including using folding, inserting, and tabbing equipment, as well as running NCOA address-checking software. Monitor mailroom supplies to ensure sufficient inventory for daily operations. Handle registered mail, important packages, and mail-related documentation, including signing off on certified mail. Open and distribute general office mail while discarding junk mail as needed. Inspect packages for potential security concerns. Provide customer service at the Mail Services counter, including selling products and assisting with mail inquiries. Prepare monthly “charge back” reports for postage and services provided to campus departments. Assist Record Retention Officer in maintaining the record retention database regarding campus record custodians, records stored in central storage, and departmental storage. Support record inventory control, including record retention and destruction schedules. Communicate with campus record retention custodians regarding record policies and procedures. Assist in preparing record retention reports. Receive and process requests for record storage and retrieval, including updating the records database. Deliver, inventory, and retrieve record storage boxes to/from campus departments. Assist with Record Retention training for campus record custodians. Maintain the Record Retention website and database. Maintain monthly billing for shredding services across campus. Develop procedures and forms for implementing shredding services. Schedule delivery and pickup of shredding deposit bins with contractors. Reconcile charges for shredding services and maintain accurate records. Provide reception services for University Support Services operations, including answering phones, redirecting calls, and greeting walk-in customers. Answer customer questions and provide information on mail procedures, policies, and services. Be responsible for a cash drawer, including counting money at the beginning and end of shifts and reconciling to deposit slips. Prepare and issue receipts, refunds, and credits as required. Monitor cashier stations to ensure adequate cash availability. Sort, count, and wrap currency and coins for deposit. Prepare accurate deposit slips and maintain deposit records. May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards. At the direction of appropriate administrator, may provide support to other departments/areas withing functional area/department as needed. Other duties as assigned.

Requirements

  • Education: None required.
  • Experience: One year of general office clerical work, stock clerk work or delivery service work.
  • Prospective applicants who have not had the experience listed may be considered eligible based on other evidence of meeting the listed required qualifications
  • General knowledge of office methods, supplies and equipment.
  • Working knowledge of current postage rates and shipping rules and regulations.
  • Ability to accurately interpret and apply current postage rate charts and regulations.
  • Ability to spell correctly and read and write at a level appropriate to the duties of the position.
  • Ability to perform mathematical calculations quickly and accurately.
  • License or Certifications Valid California Drivers License

Nice To Haves

  • Minimum of two (2) years of experience in mail services, shipping/receiving, or clerical support.
  • Two (2) years of experience operating electronic postage meters and postal scales.
  • Two (2) years of experience processing bulk mailings (folding, inserting, tabbing, or presort).
  • Experience using Microsoft Word and Excel for tracking or data entry.
  • Experience using shipping or address-verification software (e.g., UPS, Stamps.com, NCOA).
  • Two (2) years of experience maintaining mail, shipping, or inventory records/logs.
  • One (1) year of experience operating mailroom production equipment.
  • Prior experience working in a higher education or CSU mailroom/property setting.
