About The Position

We're hiring a Logistics Coordinator / Administrative Lead to keep shipments moving and customers informed. You'll coordinate outbound deliveries, own shipping documentation, communicate across sales/operations/carriers, and support invoicing and accounts receivable follow-up. Requirements

  • 2+ years of experience in logistics coordination, operations administration, or supply chain support
  • Strong Excel skills (tracking, reporting, pivot tables, lookups, data validation)
  • Experience with logistics systems and business tools (ERP/CRM) and/or accounting software
  • Understanding of domestic shipping processes (international shipping experience is a plus)
  • Working knowledge of invoicing and A/R documentation, including collections follow-up
  • Clear, professional communication skills and the ability to coordinate priorities across internal teams and external partners
  • Highly organized, detail-oriented, and comfortable working independently

Nice To Haves

  • Experience in a high-volume or multi-department logistics environment
  • Experience training or mentoring team members
  • Bilingual (English/Spanish) preferred

Responsibilities

  • Coordinate shipment schedules, carrier dispatch, delivery appointments, and tracking
  • Proactively identify and resolve delays, shortages, discrepancies, and compliance issues before they impact customers
  • Prepare, review, and maintain shipping documents and required compliance paperwork
  • Build and maintain Excel reports to support scheduling, service levels, and operational visibility
  • Coordinate invoicing requests and provide accurate documentation to support A/R follow-up
  • Review aging reports, follow up on outstanding balances, and escalate issues as needed
  • Serve as a primary point of contact for customers, carriers, vendors, sales, and operations
  • Partner with sales on complex orders, shipment planning, and documentation requirements
  • Maintain accurate logistics, customer, and financial data in internal systems (e.g., Quickbase/ERP/CRM)
  • Recommend and implement process improvements to increase efficiency, accuracy, and on-time performance
