GENERAL JOB DESCRIPTION Facilitate and manage the execution of domestic and international transportation arrangements and assist with other logistics services and activities as needed. Attention to detail and excellent communication skills are crucial, as the role requires the facilitation and tracking of complex services and transportation needs in a matrix environment.

Requirements

  • Hands-on experience coordinating a high volume of LTL, FTL, and Parcel shipments in a fast-paced environment.
  • Experience setting up and managing trailer swap programs is required; additional experience managing dumpster swap programs is preferred.
  • Working knowledge of MS Office applications and proficiency with MS Excel required. Experience with reporting platforms such as Power BI is highly preferred.
  • DG/Hazardous material certification and/or willingness to become certified.
  • Experience with transportation and service negotiation for domestic logistics services (safe packaging, loading, warehousing, temporary storage, transportation, etc.) is required.
  • Experience with event logistics or other types of time-sensitive freight services requiring a high degree of project planning and follow-up, or movement of high-value goods with added security focus, is highly preferred.
  • Working knowledge of transportation insurance requirements and experience with submitting and following up on claims is required.
  • Working knowledge of domestic and international freight and logistics functions, including how to work with and schedule services with vendors, create commercial documents, SLIs, and file EEIs.
  • Experience coordinating international shipments, including airfreight imports and exports, cross-border over-the-road shipping, and familiarity with trade compliance documentation, is highly preferred.
  • Working knowledge of Schedule B codes, the Harmonized Tariff System, and Incoterms is preferred.
  • Demonstrated experience leveraging AI tools (Claude preferred) and automation technologies to improve workflow efficiency, data accuracy, or decision-making in a logistics or operations environment is highly preferred.

Responsibilities

  • Coordinate domestic over-the-road (OTR) freight services and utilize existing system technologies to automate the quotation and dispatching of LTL and FTL shipments.
  • Follow through on and monitor vendor performance and system automations to ensure customers are serviced on time and at appropriate service levels.
  • Maintain inbound and outbound facility receiving volumes so as not to exceed daily capacities, and work cross-functionally to resolve issues.
  • Work directly with freight forwarders, brokers, and carriers to transport goods domestically and internationally through various modes of transportation (LTL, FTL, Air, Ocean, Parcel, etc.).
  • Coordinate international shipments including preparation of commercial invoices, packing lists, shipper's letters of instruction (SLIs), and electronic export information (EEI) filings in compliance with applicable trade regulations.
  • Work autonomously and cross-functionally as needed to proactively improve the customer experience and increase the effectiveness of planning and work order execution.
  • Plan and problem-solve autonomously with a high sense of urgency.
  • Monitor costs as a percentage of revenue for accounts and programs to identify negative trends, and work cross-functionally to explore areas to improve financial performance.
  • Think critically to determine the most optimal transportation methods for client requests based on size, content, mode of transport, lane, price, value, and time sensitivity.
  • Learn and use various applications and web-based systems to facilitate shipments.
  • Maintain close communication with internal and external stakeholders regarding job planning and execution to achieve customer success and maintain standards of excellence.
  • Troubleshoot logistics-related issues with vendor service providers, internal sales and technology teams, and customers.
  • Proactively monitor shipments for milestone checkpoints and coordinate with facilities, customers, and service providers to meet deadlines and avoid additional costs. Address delays both internally and externally as needed.
  • Coordinate with the Compliance Department to ensure standards and requirements for all shipment types are met and areas of risk are reduced.
  • Organize, review, and manage documentation for department and company-wide recording needs, including filings, invoices, data entries, and other shipment-related documents.
  • Create, review, and issue shipment documents to ensure accuracy and appropriateness (bills of lading, commercial invoices, packing lists, shipper's letters of instruction, etc.).
  • Assist with invoice approval and reconciliation processes as assigned.
  • Obtain, review, and award quotes for transportation services and shipments of varying scope and scale.
  • Interpret Section XIV of MSDS/SDS files to determine required packaging, handling, and documentation requirements for hazardous shipments (preferred).
  • Work outside of normal business hours as needed.
  • Collaborate with team members for guidance and support, especially when working on logistics arrangements that involve other functional areas (onsite white glove services, international transactions, parcel programs, etc.).
  • Leverage AI-powered tools (e.g., Claude, ChatGPT) to streamline workflows, improve documentation accuracy, and enhance operational efficiency across logistics coordination activities.
  • Identify and implement opportunities to apply AI and automation to reduce manual touchpoints in quoting, dispatching, tracking, and reporting workflows.
  • Perform other duties as assigned to support the department and organization.
