General summary: Coordinate and directs the activities and personnel of the Loan Operations Department. Provides support to the Commercial Loan Department and Branches by assisting with set-up and maintenance of loan customer files. Responsible for documenting commercial/consumer loan packages and files via an automated software program (Laser Pro) and in accordance with established legal regulations and bank policies and procedures. Ensures correct combinations of documents are prepared and or received for each transaction to secure legal interest of the bank. Perform diverse duties in support of, and in conjunction with, the commercial/consumer loan portfolio maintenance, including but not limited to accurately setting up commercial/consumer loan files in computer systems. Provide excellent customer service and administrative support for commercial lending department and branches.   • Good knowledge of Consumer, Residential and Commercial Lending.
  • Good knowledge of bank policies, procedures and banking regulations as they relate to the department.
  • Familiarity with laws and regulations governing bank-lending activities, the Patriot Act (CIP), Bank Secrecy Act and Community Reinvestment Act.
  • Ability to maintain a satisfactory level of attendance as defined in the attendance policy.
  • Ability to interpret a variety of instructions furnished in written, oral or schedule form.
  • Excellent knowledge of office equipment essential to job performance: typewriter, ten-key calculator, personal computer.
  • Strong knowledge of computer programs: Navigator, Laser Pro, Word, Excel and Internet usage.
  • Ability to look and project a professional image.
  • Requires a minimum of 5 years’ experience in the financial industry with demonstrated experience with and aptitude of Laser Pro Closing software.
  • Successful completion of a high school diploma or GED.

Responsibilities

  • Provide friendly, courteous and professional communication support, including responding to incoming telephone calls, electronic mail and voice mail.
  • Monitors the emails in loan support cue and responds to requests accurately and in a timely manner.
  • Understands and adheres to the compliance of all federal and state laws and regulations and bank policies, procedures and standards in the loan operations department.
  • Review changes and updates in regulations and policies as required and distribute to team member. Conduct training for team members where necessary.
  • Review release notes for software updates, upgrades and modifications.
  • Set-up and maintain loan files in accordance with Bank policy and procedures and established guidelines for commercial, consumer and SBA loans.
  • Prepare loan documents utilizing automated program (LaserPro) within established time frames, verifying accuracy of input and documents produced.
  • Board new loans and update renewed loans in the loan accounting system.
  • Conducts file maintenance review for loans in a timely manner.
  • Perfect loan documents to secure legal interest of the bank with the appropriate entities and assist with follow-up on documents for loan files.
  • Assist loan officers with requests to complete on respective loan customers.
  • Posts loan payments within established time lines verifying accuracy input of documents.
  • Prioritize tasks to meet deadlines on a daily basis and special assignments.
  • Maintain accuracy, neatness and thoroughness in performance of assigned duties to minimize errors.
  • Conduct monthly certifications.
  • Complete all required internet compliance training within established timeframes.
  • Maintain a satisfactory level of attendance as defined in the bank attendance policy.
  • Attend department and staff meetings as requested.
  • Other duties as assigned.
  • Maintain a Log to ensure documentation request are being completed in chronological order and processed in a timely manner within expected deadlines. Delegates loan document request with the cue to support specialists when needed.
  • Prepare early disclosures on all consumer (real estate secured also) and commercial loans.
  • Generate loan documents and book loans accurately and in a timely manner.
  • Provide re-disclosures when necessary.
  • Prepare escrow instructions, establish escrow accounts and monitor property taxes (if applicable).
  • Verify accuracy of input and loan documents produced prior to loan closings plus ensure correct combination of loan documents for each transaction.
  • Assemble credit file in orderly fashion.
  • Complete Consumer Loan Doc and Credit File review checklists.
  • Complete loan boarding and boarding check backs within established time frame.
  • Complete title processing (i.e., car, boat, etc.)
  • Complete HMDA reporting for LAR.
  • Follow for receipt of property/collateral insurance coverage to assure adequate protection to Bank/ ensure collateral on Insurance Policy is same as on loan plus verify collateral identification numbers to security documents.
  • Compile all declined loan files and place in storage with all declined files.
  • Document commercial loan request and consumer loan document requests as required to meet regulatory standards, SBA guidelines and bank policy.
  • Set up and maintain tickler files, if applicable to loan.
  • Follow –up for pending items or communicate file needs to loan officers or loan assistants.
  • Process rate changes on Navigator
  • Assist Commercial Loan Department or branch team members with questions on loan payments.
  • Apply loan payments and payoffs received ensuring accurate application of funds including participated loan payments.
  • Report any necessary corrections to credit agencies.
  • Prepare consumer loan surveys and mail out.
  • Release notes and security interests on paid off loans.
  • Complete daily tasks (i.e., review loan director reports, process billing statements and rate change notices, filing, etc.)
  • Balance ban control accounts and complete monthly ban control certifications.
  • Complete monthly certifications accurately and within established time frames.
  • Upload LAS data file to Ninpro as required and distribute bi-monthly reports to loan assistants.
  • Department resource for questions and training plus project lead as requested.
  • May be requested to become a Notary Public.
