About The Position

The Licensing Management Analyst serves as a subject matter expert in software and hardware licensing across the organization. This role ensures license compliance, vendor billing accuracy, and proper client billing while supporting operational and strategic initiatives. You will manage the full lifecycle of licenses, reconcile invoices, optimize costs, and maintain vendor and client relationships—all while protecting revenue and improving operational efficiency. This is a hands-on, operational role with direct exposure to healthcare clients and healthcare-specific platforms.

Requirements

  • Experience: 5+ years in asset management, software licensing, procurement, or billing operations. Prior healthcare or healthcare IT experience is required.
  • Healthcare Platform Knowledge: Familiarity with PM/EHR systems such as NextGen, NextGen Office, Aprima, Medisoft, or Lytec is strongly preferred.
  • Technical Skills: Proficiency with Excel, Power BI, and other reporting or tracking tools. Experience with PSA or ERP systems is a plus.
  • Vendor & Client Management: Demonstrated ability to manage vendor relationships, coordinate with internal teams, and interact with clients regarding licensing and renewals.
  • Operational & Administrative Skills: Highly organized with strong attention to detail; able to manage multiple priorities, follow up via email, and ensure nothing falls through the cracks.
  • Communication Skills: Excellent verbal and written communication, including the ability to explain technical details to non-technical stakeholders.

Responsibilities

  • License Management: Maintain an up-to-date inventory of all software, hardware, and other licenses, including vendor, renewal dates, usage, costs, and other details. Oversee ordering, cancellations, and asset tracking to optimize inventory.
  • Vendor & Client Billing: Review and reconcile vendor invoices, identify and correct discrepancies, and ensure accurate client billing aligned with contractual agreements.
  • Renewal Forecasting: Track upcoming license renewals, notify internal stakeholders, and coordinate client order forms (COFs).
  • Cost Optimization & Negotiation: Analyze licensing costs, identify savings opportunities, and evaluate unused licenses to reallocate or discontinue unnecessary spending. Negotiate with vendors to ensure cost efficiency and prevent overpayments.
  • Compliance & Risk Management: Ensure compliance with software licensing agreements, prevent service disruptions due to expired licenses, and act as an internal advisor for audits and policy development.
  • Reporting & Forecasting: Develop and deliver reports on licensing costs, renewal schedules, and financial impact for leadership teams to support budgeting and planning.
  • Revenue Protection & Growth: Ensure clients are billed accurately and engage in strategic client conversations around licensing optimization.
  • Operational Efficiency: Streamline license management processes, improve forecasting, and reduce operational burden across teams.
  • Other Duties: Perform additional duties as required to support internal teams and client needs.
