About The Position

As a member of the Library’s management team, under the supervision of the Technical Services manager, this employee contributes to management of the library’s Integrated Library System (ILS); completes regular ILS maintenance and reports; assists with ILS upgrades; ensures functionality of ILS (Sierra, Vega Discover, Mobile App), eMedia applications, and database authentication; maintains EDIFACT (EDI) ordering to ensure timely arrival of books & materials. This employee also contributes to the supervision of the daily operation and management of Technical Services; schedules, directs, trains, and evaluates employees; assists with supervising and training community service workers; assists with collection development projects; ensures new materials are received, cataloged, and processed in a timely manner, and adjusts staff workflows as needed.

Requirements

  • Master's degree in Library Science from an American Library Association-accredited program
  • At least two years’ professional cataloging experience with at least one year of supervisory experience overseeing staff
  • Experience administering or configuring an ILS, including workflows that support cataloging services
  • Demonstrated experience in data management
  • Deep working knowledge of ILS management and maintenance, including understanding of various functions and records types
  • Substantial knowledge of standards (e.g., MARC21, RDA, authority control, classification schemes) and bibliographic utilities like OCLC
  • Experience with RFID functionality, eContent integration, and database management, including understanding of authentication methods
  • Knowledge of the principles of collection development
  • Understanding of the relationships and responsibilities of Library divisions and buildings
  • Understanding of Library mission and roles, and the general role of public libraries within a community
  • Understanding of librarianship and its foundational documents, including the Library Bill of Rights, Code of Ethics, and the Freedom to Read Statement
  • Excellent customer service skills
  • Ability to assign, supervise, and evaluate employee work to obtain established results
  • Substantial ability with standard software used in business applications such as Microsoft products, especially Word and Excel; and specialized library industry standard software
  • Substantial ability with current Web applications such as search engines, email interfaces, social media, and eBook and eAudio applications/commonly used devices
  • Strong organizational and planning skills, including the ability to perform multiple projects or tasks with frequent interruption
  • Ability to exhibit good judgment according to a formalist system of ethics and establish a cordial and effective working relationship with the public, support staff, colleagues, Board members, and County officials
  • Ability to resolve conflict rather than create it, and implement change rather than block it
  • Ability to implement Library Board policies and administrative procedures

Responsibilities

  • Assist with management, maintenance, and administration of Integrated Library System (ILS), including Sierra, Vega Discover, and Mobile App
  • Ensure smooth patron and staff workflows by maintaining integration between ILS and discovery layers, self-check and RFID stations, eContent platforms, and financial systems
  • Assist with maintenance of all types of ILS records (patron, bibliographic, vendor, order, etc.)
  • Assist with management of ILS settings and functions, including troubleshooting issues and coordinating fixes
  • Assist with regular ILS updates, including notifying and training staff on new features and enhancements, completing post-update tests, and working with vendor to address errors or bugs
  • Ensure any ILS updates, changes, and enhancements comply with state and federal laws, as well as library policies and service standards, especially regarding privacy and confidentiality
  • Complete regular audits to ensure data privacy and integrity practices
  • Assist with ensuring data backup, disaster recovery, and business continuity practices are in place
  • Assist with maintaining good-standing relationships with ILS, eMedia, database, and materials vendors.
  • Regularly test ILS, eMedia, and database resources to ensure full functionality
  • Assist with opening and updating support tickets with ILS, eMedia, and database vendors
  • Review vendor contracts and invoices regularly
  • Participate in ILS, eMedia, and database evaluations, including RFP process
  • Support collection management projects by running ILS queries and forming concise and accurate data analysis reports
  • Ensure integrity and consistency of all ILS records, and addressing inconsistencies promptly
  • Assist with systems audits, statistical reports, and privacy compliance
  • Create and maintain ILS procedures and documentation
  • Assist with ILS user management, ensuring appropriate permissions and access levels
  • Manage processing of all manual or automated (EDIFACT) materials orders, including verifying and maintaining all physical and digital invoices, orders, and vendor data
  • Supervise copy cataloging Machine-Readable Cataloging (MARC) records for all formats such as books, periodicals, audiobooks, DVDs and Blu-Rays, music CDs, realia, and eMedia
  • Classify print and nonprint materials using local stands and Dewey Decimal Classification
  • Evaluate emerging technologies and system enhancements, making recommendations that are aligned with system goals and that improve the patron and staff experience
  • Support long-term technology planning and budgeting
  • Participate in cross-departmental planning and training
  • Work closely with circulation, cataloging, IT, finance, and administration colleagues, serving as a bridge between technical and non-technical staff
  • Assume first-line managerial responsibility for division, employees, and operations in the absence of division manager
  • Under the general supervision of the division manager, assist in the daily operation and management of the division
  • Develop employee work schedules that comply with federal law, County policy, and the Library’s administrative procedure on scheduling
  • Contribute to performance review process through the provision of input to division manager for quarterly updates and end of year reviews
  • Maintain a working knowledge of trends in publishing and literature, educational and developmental needs, and the library profession through webinars, internal training, meetings, conferences, professional literature and organizational memberships
  • Preserve the safety, appearance, and condition of Library facilities and property
