About The Position

Responsible for the daily support of the sales department with regard to the leasing, renewal, lease termination and swap functions. Support the sales department by maintaining accurate inventory. Perform miscellaneous clerical/bookkeeping functions as necessary. Maintain a neat and professional appearance. Leadership This role does not manage others.

Requirements

  • High School Diploma
  • 1-2 years’ experience in a dealership or administrative environment
  • Can adapt and embrace change with an internal and external customer centric environment
  • Act as an advocate for teammates and have a strong commitment to technology advancement
  • Possesses effective communication skills: oral, written, listening.
  • High level of organization.
  • Works well with customers, promotes a positive image of the company, strive to solve issues raised within the dealership.

Responsibilities

  • Responsible for assembling and maintaining used car files.
  • Making sure that all documents are in each file: K-208, copy of the safety check, Carfax, title, certification paperwork.
  • Responsible for new car trades/swaps.
  • Making sure that all sold units are here ASAP.
  • Maintaining best inventory with best possible turn.
  • Weekly meeting with GSM to make sure that we have what we need.
  • Must be perfectly familiar and 100% utilize Conquest tool.
  • Responsible for preferencing cars on monthly allocation with managers assistance.
  • Order cars with the most desirable colors and equipment according to Conquest.
  • Maintaining low cost of swapping cars by utilizing swap drivers and lot person, making sure that we use dealer trades to our advantage and minimize the cost of shipping inventory.
  • Assisting in off lease grounding vehicles and emailing odometer statements to LFS.
  • Billing out leases.
  • Billing out wholesale sold vehicles.
  • Perform all clerical functions necessary: copying, faxing, filing, to assist and streamline the function of the sales department.
  • Key track all new and used car keys ASAP.
  • Update daily: new car descriptions in Conquest by options, colors, mileage, equipment, packages.
  • Organize swaps daily and use best time management for swap drivers and lot attendant.
  • Maintaining best possible new car inventory by turn, must utilize Conquest tool, Weekly meeting with GSM to review.
  • This will include dealer trades without sold units to maximize profit and turn.
  • Responsible for Monday morning reporting: back log and Inventory.
  • Responsible for inspecting sales staff training requirement for Lexus Elite.
  • On some occasions will require driving to dealerships for dealer trades, this will be limited to minimum as the last resort.
