About The Position

As a Legal Support Assistant, you will perform high-level administrative and executive support assigned attorneys. This position interacts daily with top executives and requires the use of independent judgment and discretion in handling extremely confidential information with a wide variety of internal and external clients. You will provide a variety of secretarial and administrative duties for assigned attorneys. You will be responsible for interacting with colleagues in a team setting and upholding the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.

Requirements

  • At least 2 years of law firm experience, preferably in an executive assistant or similar role.
  • The ability to be a self-starter, ability to work with autonomy in a team environment, ability to prioritize, proactively anticipate and solve critical issues.
  • Ability to handle confidential material with tact and discretion.
  • Analytical abilities and aptitude in problem-solving.
  • Strong customer service orientation with superb follow through; excellent organizational skills and time management skills.
  • Proofreading, attention to detail, strong writing and grammar skills.
  • A high degree of proficiency with MS Office, including Excel and PowerPoint.
  • Knowledge of Carpe Diem, Elite, and document management systems or similar legal software

Responsibilities

  • Manage complex schedules, phone calls, meetings and travel for high-level attorneys; maintain up-to-date and accurate calendars with complex scheduling requirements and serve as the point of contact between partners and employees.
  • Arrange and coordinate all travel for assigned attorneys. Prepare agendas for meetings, organize and open executive conference calls; take notes at meetings.
  • Manage multiple administrative projects and deadlines with a high degree of accuracy in a timely manner.
  • Manage travel expenses, attorney time entry and prepare expense reports.
  • Prepare correspondence, memoranda and other legal documents; proofread documents and check for appropriate formatting, spelling and grammar.
  • Edit and format corporate and other legal documents as instructed, using Microsoft Office suite of software.
  • Sort, date and read incoming correspondence, including email; prepare documents and packages for mail, messenger and overnight delivery.
  • Complete client/matter forms; request conflicts of interest checks; open and maintain client and general files.
  • Coordinate and follow through on requests and projects with other support departments (e.g., word processing, billing, receptionists, file/document clerks, office services).
  • Flexibility and willingness to take on additional ad-hoc projects and responsibilities as needed.
