About The Position

UPMC Corporate Legal is seeking a Legal Operations Associate to join their team, based in the U.S. Steel Tower. This position follows a Monday–Friday schedule during standard business hours and offers a hybrid work arrangement, with three days onsite each week. In this role, the associate will support the business operations of the UPMC Legal Department, with a primary focus on database management and Policy Management System administration. The role also provides backup support to the Office of the Corporate Secretary and may assist with additional areas such as finance, technology, vendor management, process improvement, and communications as needs arise, offering an opportunity to expand skills within Legal and gain exposure to all areas within the team. The ideal candidate is interested in the legal field, has experience with database management and financial analysis, and enjoys problem-solving in a collaborative environment.

Responsibilities

  • Serves as a key team member in UPMC's transition from a manual policy review and approval process to processes supported by policy software.
  • Until such transition is complete, schedules and participates in all meetings of the UPMC and UPMCPS Policy Review Committees, and coordinates preparation, technical review, revision, response and distribution of all UPMC and UPMCPS policies generated and received by the Policy Review Committees in a timely manner.
  • After the transition is complete, serves as a super user of the policy software and provides technical support to others within UPMC who use the software.
  • Exhibits general understanding of policy substance; identifies and rectifies intra-manual and inter-manual inconsistencies within policies and/or across policies; identifies potential opportunities for policy sponsors to collapse and consolidate existing policies in furtherance of simplification.
  • Works with other staff to ensure that UPMC and UPMCPS policies meet the requirements of applicable regulatory and accreditation agencies; responds to inquiries from management, staff and/or regulators, as needed.
  • Facilitates integration of UPMC hospitals and other business units with UPMC's system-wide policies by serving as a resource to such hospitals' staff, connecting them with counterparts at applicable system-wide task forces, and encouraging policy standardization where appropriate, taking into account state regulatory differences where they exist.
  • Tracks integration of UPMC hospitals, on a hospital-by-hospital and policy-by-policy basis, with UPMC's system-wide policies; shares tracking summaries with executives as appropriate.
  • Independently monitors and directs subsidiaries of UPMC with respect to placement, revision and/or removal of subsidiary policies to ensure consistency and eliminate duplication between subsidiary policy manuals and the UPMC manual.
  • Works with staff to identify opportunities to standardize and elevate business unit policies to the system-wide policy manual.
  • Creates and distributes quarterly dashboard reports to display the timeliness of system policy sponsors in reviewing/revising their respective policies.
  • Backs-up support of the Office of Corporate Secretary, particularly with respect to database management and Board meeting preparations.
  • Support communications and training for legal platforms and processes.
  • Develops an understanding of areas where efficiency and process improvement are needed within own work area; uses established tools and techniques to track progress related to implementing process improvements.
