About The Position

Join a dynamic legal team where your contributions truly matter. As a Legal Assistant, you’ll play a key role in supporting attorneys by delivering high-quality administrative and secretarial assistance. This position involves a mix of specialized tasks and collaborative efforts across our Tampa office and other Bradley locations. You’ll primarily support a group of attorneys while also providing backup assistance as needed.

Requirements

  • High School Diploma required; Bachelor’s degree preferred
  • Prior legal assistant experience required; 5 years min preferred
  • Solid understanding of legal terminology, documents, and transactional law processes
  • Advanced proficiency in MS Word, Outlook, Excel, and document management systems
  • Excellent verbal and written communication skills
  • High attention to detail and strong organizational abilities
  • Ability to thrive under pressure in a fast-paced environment
  • Skilled in multitasking and meeting tight deadlines
  • Strong client service orientation and team collaboration skills
  • Demonstrated initiative, flexibility, and resilience
  • Self-motivated with the ability to work independently
  • Physical activity may be required depending on tasks

Nice To Haves

  • Strong preference for candidates with transactional law experience
  • Experience with NetDocs and e-Filing systems strongly preferred
  • Quick adaptability to new software tools

Responsibilities

  • Deliver exceptional service to both internal and external clients
  • Draft routine correspondence, memoranda, and legal documents such as contracts, agreements, amendments, and other transactional materials
  • Professionally handle incoming calls, relay messages, and manage communications related to legal matters
  • Expertly manage outgoing communications including faxes, mail, FedEx packages, and interoffice correspondence
  • File documents accurately—both electronically and in hard copy—ensuring compliance with jurisdictional requirements
  • Proactively anticipate attorney needs to enhance efficiency (e.g., drafting correspondence and transactional documents in advance)
  • Proofread all documents meticulously for accuracy and completeness before distribution or filing
  • Prepare and submit client intake forms with precision
  • Organize and maintain files and records for transactional matters
  • Monitor progress of ongoing matters and follow up to meet deadlines
  • Use standard naming conventions when scanning, emailing, and saving documents in the document management system
  • Update contact records in Outlook and firm databases
  • Request pre-bills and statements, prepare them for signature, and distribute accordingly
  • Track client deadlines and calendar appointments regularly
  • Coordinate logistics for meetings, closings, client engagements, and attorney travel
  • Support CLE compliance, presentations, training programs, and other non-billable activities
  • Develop expertise in tasks specific to your assigned practice group, including drafting correspondence, spreadsheets, reports, and transactional documents
  • Provide support to both legal and non-legal personnel as needed
  • Serve as a Notary Public when applicable
  • Perform other duties as assigned
