About The Position

Under general supervision and according to established policies and procedures of the Strategic Business Unit Leader and/or their designee and the Human Resources Team. The Legal Assistant will perform a variety of duties specific to the attorney’s practice and the strategic business unit aligned with the attorney’s practice. The Legal Assistant will be an integral part of the attorney’s practice, including organizing and preparing client matter information as part of meeting the needs of our clients. Excellent client service and support of the Strategic Business Unit initiatives is a must. This position is non-exempt.

Requirements

  • High level of organizational skills, attention to detail and ability to manage and prioritize a variety of matters while working with multiple supervisors.
  • Technologically savvy with a high proficiency in MS Word, Excel, and Outlook.
  • Has the ability and willingness to learn new technology applications and processes.
  • People oriented – enjoys interacting and communicating cooperatively with a wide range of colleagues from across the firm.
  • Achievement oriented – enjoys taking on challenges while being proactive.
  • Capable – shows initiative and can be trusted to perform assigned tasks and duties in a deadline-driven environment.
  • Team member who maintains the willingness and mentality to get the work completed when needed. Willing and able to work overtime when required. Adaptable and flexible.
  • Proven experience as a Legal Assistant, with trust and estate matters preferred.
  • Working knowledge of Microsoft Office (Excel, Word, Outlook)
  • Exceptional written and oral communication skills.
  • Excellent interpersonal skills, with focus on rapport-building and listening.
  • Ability to collaborate with paralegals, attorneys and other legal assistants throughout the Firm to ensure best practices are applied across the organization.

Responsibilities

  • Preparation and organization of legal documents.
  • Processing/scanning mail as needed.
  • New file set up in document management software.
  • Organizing and maintaining high volume of paper, electronic and/or hard files.
  • Detail management of case files.
  • Oral and written communications with a variety of entities, including clients, courts, family members, vendors and outside counsel, etc.
  • Managing deadlines, scheduling, calendaring, and completing expense reports.
  • General administrative support for Attorneys and Paralegals as requested.
