About The Position

The Legal Assistant supports attorneys, escrow officers, and title professionals by preparing, organizing, and reviewing legal and real estate documents for residential and commercial transactions. This role requires strong attention to detail, knowledge of Texas real estate practices, and the ability to communicate effectively with clients, lenders, and internal team members. The Legal Assistant ensures all documentation is accurate, compliant, and delivered on schedule to support smooth and timely closings.

Requirements

  • 1–3 years’ experience as a Legal Assistant, Title Assistant, Escrow Assistant, or Paralegal in a title company or law firm.
  • Working knowledge of Texas real estate documents and title processes.
  • Strong organizational skills and exceptional attention to detail.
  • Proficiency in title or legal software such as SoftPro, RamQuest, ResWare, Qualia , or similar platforms.
  • Strong written and verbal communication skills.
  • Ability to manage a fast-paced environment and handle multiple deadlines.
  • High degree of professionalism, discretion, and confidentiality.

Nice To Haves

  • Experience supporting attorneys in real estate or transactional law.
  • Familiarity with both residential and commercial closing processes.
  • Texas Notary Public certification (or willing to obtain).
  • Experience preparing documents for complex or multi-parcel transactions.

Responsibilities

  • Prepare and assist in drafting legal and title-related documents including:
  • Deeds, affidavits, powers of attorney, subordination agreements
  • Promissory notes, deeds of trust, releases, and related instruments
  • Closing documents such as settlement statements and title packets
  • Review legal descriptions, vesting, property details, and lender requirements for accuracy.
  • Assist attorneys and escrow officers with file management and document organization.
  • Coordinate with clients, lenders, real estate agents, and internal staff to gather missing information or correct documentation.
  • Maintain and update case and transaction files in digital and physical formats.
  • Assist with scheduling signings, coordinating notarization, and preparing execution packets.
  • Support post-closing tasks including recording, returning originals, and preparing for final policy issuance.
  • Ensure all work complies with Texas title insurance regulations, RESPA, CFPB, TREC guidelines, and office procedures.
  • Provide professional communication and exceptional customer service throughout the transaction process.
