About The Position

Delaware's Attorney General, the State's chief law enforcement officer, has a broad responsibility to combat crime, uphold civil rights, safeguard families, fight fraud, and protect consumers in the First State. The Attorney General is supported by teams of talented lawyers and staff in various divisions, including Criminal, Civil, Family, Fraud and Consumer Protection, and Civil Rights and Public Trust. The Office of the Attorney General has over 500 staff dedicated to serving all Delawareans with integrity and passion. Deputy Attorneys General, with support from criminal special investigators, victim service specialists, paraprofessionals, and administrative staff, prosecute criminal cases, enforce consumer laws, provide counsel to state agencies, ensure public access to open government, protect the abused, and more. The Criminal Division is seeking a Legal Administrative Specialist to provide clerical/administrative support to Deputy Attorneys General prosecuting crimes in the Misdemeanor Trial Unit, located in Kent County.

Requirements

  • Possession of a bachelor’s degree or higher AND two years of experience in each of the following: coordinating office activities (such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems), document processing (which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolving deficiencies, interpreting information, and tracking and monitoring activities), using standard computer software programs for word processing, spreadsheets or databases, using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data, preparing legal documents, and interpreting laws, rules, regulations, standards, policies, and procedures.
  • OR Five years of employment with the Department of Justice in a similar capacity.
  • OR Six years of experience in coordinating office activities (such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems), six years of experience in document processing (which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolving deficiencies, interpreting information, and tracking and monitoring activities), six years of experience in using standard computer software programs for word processing, spreadsheets or databases, six years of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data, four years of experience preparing legal documents, and four years of experience interpreting laws, rules, regulations, standards, policies, and procedures.

  • Must possess strong computer skills.
  • Must be proficient in Microsoft Word.
  • Must possess excellent spelling, grammar and proofreading skills.
  • Must be able to handle multiple tasks in a fast-paced work environment with the ability to pay attention to detail.
  • Must be able to interact professionally with members of the public, including victims, defendants and defense attorneys.
  • Must be able to answer telephones and take accurate messages.

Responsibilities

  • Provide clerical/administrative support to Deputy Attorneys General prosecuting crimes in the Misdemeanor Trial Unit.
  • Set up files.
  • Run criminal record checks.
  • Type various information.
  • Request reports.
  • Answer discovery.
  • Manage calendars.
  • File documents.
  • Prepare subpoena lists.
  • Serve as part of the rotation schedule as back up coverage to the main Criminal Division Receptionist in the event of an absence.
  • Apply agency laws, rules, regulations, policies, and procedures in maintaining and processing agency information.
  • Serve as a liaison with the public, clients, agency staff and others to exchange information and explain agency services, laws, rules, regulations, policies, and procedures.
  • Assure effective coordination of operational functions for assigned unit/attorneys.
  • Arrange for the delivery of legal paperwork.
  • Type correspondence and legal paperwork.
  • Schedule, coordinate, and confirm court dates, appointments, interviews, intakes, and meetings.
  • Establish tracking and monitoring systems and conduct follow up to ensure timely resolution of matters.
  • Maintain and control data and/or filing systems to ensure effective, accurate and easily retrievable legal documentation.
