About The Position

Legal Administrative Assistants (LAAs) provide comprehensive administrative and clerical support to multiple attorneys, ensuring seamless handling of litigation-related matters. LAAs work both independently and as part of a team and rely on experience to complete a variety of administrative support tasks such as calendaring, communicating verbally and in-writing with internal and external stakeholders, preparing and filing legal documents, composing and proofreading correspondence, and maintaining reporting.

Requirements

  • Minimum of 5 years of legal administrative experience, with a strong focus on litigation support.
  • Proficiency with legal terminology, procedures, and litigation processes.
  • Strong skills in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
  • Experience with legal e-filing systems (e.g., PACER, state court portals).
  • Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail, excellent written and verbal communication skills.
  • Ability to work independently and as part of a team, maintaining confidentiality and professionalism at all times.
  • The ability to work at computer, sit, stand, and occasionally lift up to 25 pounds.

Responsibilities

  • Provide administrative support to multiple litigation attorneys, managing complex calendars, court deadlines, and travel arrangements.
  • Prepare, proofread, and format legal documents including pleadings, discovery, motions, and correspondence.
  • File legal documents electronically with federal and state courts (e-filing).
  • Maintain and organize case files, both electronically and in hard copy, ensuring documents are easily accessible.
  • Coordinate meetings, depositions, court appearances, and client communications.
  • Track billable hours, prepare time entries, and assist with monthly billing using firm software.
  • Communicate professionally with clients, court staff, and opposing counsel.
  • Assist with trial preparation, including document production, exhibits, and witness coordination.
  • Perform other administrative duties as needed to support legal staff and ensure efficient case management.
