About The Position

Fidelity National Financial is seeking a Leave of Absence (LOA) Administrator to join our Corporate HR team. The LOA Administrator provides operational support for company leave programs in partnership with our outsourced leave vendor and internal HR teams. This role focuses on auditing, data accuracy, compliance checks, and assisting HR administrators with leave-related questions. The LOA Administrator will maintain intranet resources, prepare quarterly newsletters, and coordinate with internal teams on ADA processes and escalated leave issues. LOCATION This role works a hybrid schedule with onsite work one day a week minimum.

Requirements

  • Bachelor’s degree in HR, Business, or related field preferred or equivalent experience.
  • 2–4 years in leave administration supporting multi‑state populations; experience with HRIS and vendor systems preferred.
  • Strong working knowledge of FMLA, ADA/ADAAA, USERRA, Workers’ Compensation, and state PFML programs; familiarity with HIPAA, ERISA considerations, and privacy requirements.
  • Ability to handle sensitive medical and personal information with strict confidentiality.

Responsibilities

  • Serve as a subject matter point of contact for HR administrators across the organization on leave law navigation, policy application, and case complexity including but not limited to FMLA, ADA/ADAAA, USERRA, state paid family & medical leave programs, pregnancy/accommodation laws, and company policies.
  • Handle both internal and external escalations, serving as the day-to-day contact for internal legal, HR and Safety teams as well as the outsourced leave of absence administrator on complex leave issues (regulatory updates, eligibility, Workers’ Compensation coordination, intermittent leave tracking, notice disputes, and delays).
  • Coordinate the ADA accommodation interactive process in partnership with the vendor, HR administrators, and managers.
  • Run scheduled audits to compare the HRIS leave status with the outsourced vendor’s system to confirm employees are accurately reflected on leave in both systems. Investigate and resolve discrepancies (effective dates, leave types/codes, intermittent vs. continuous status, return to work dates). Document findings, corrective actions, and trends; provide monthly dashboard reporting to Benefits/HR leadership.
  • Execute the monthly review for employees approaching or exceeding six months of leave to determine health & welfare benefit eligibility in accordance with policy. Coordinate with Benefits to administer changes, notices, and any required billing/Cobra processes where applicable.
  • Audit Workers’ Compensation cases to ensure concurrent FMLA designation where eligible, accurate leave coding in HRIS, and timely FMLA rights and notices are offered.
  • Maintain and update LOA pages on the company intranet (HR administrator site and employee site), including job aids, brochures, FAQs, workflows, and recorded webinars. Ensure materials are current, accessible, and consistent with policy and regulatory changes; archive superseded content.
  • Plan, draft, and distribute a quarterly leave of absence newsletter highlighting legislative updates, vendor and internal webinars, tools/resources, seasonal reminders (e.g., flu season, caregiver leaves), and audit trends.
  • Collaborate effectively with internal HR teams, managers, and external vendor partners to resolve issues and improve processes.
  • Perform other duties and responsibilities as assigned to support the goals and needs of the department.
