Requirements

  • Bachelor's degree in Business, Accounting or related field, or equivalent work experience
  • 2 years of lease accounting experience
  • Experience with MRI or other comparable software
  • Good listening skills and customer service oriented
  • Highly organized, concise, detailed, flexible, efficient, with ability to multi-task
  • Ability to focus on results and desired outcomes and how best to achieve them
  • High level of initiative and strong follow through with ability to work independently
  • Ability to maintain confidentiality and act with personal, professional, and behavioral integrity
  • Ability to be inquisitive while meeting productivity and accuracy standards
  • Have exceptional written and oral communication skills
  • Ability to read, write and comprehend the English language

Responsibilities

  • Validate accuracy of set up of all legal documents (i.e., leases, license agreements, modifications, renewals) based on department guidelines and in accordance with SOX, including abstraction, review, interpretation, input, and analysis of the information into MRI or other systems and tools.
  • Ensure timely and accurate setup and processing of all billings and sales information, including recoveries (Utilities, CAM, TAX, Water, Insurance), percentage rent, and FASB set up.
  • Post billing adjustments in accordance with defined company policy.
  • Prepare monthly sales analysis reports, calculate estimated sales and review reasonability of reported sales.
  • Demonstrate a proactive understanding of cross-functional priorities by anticipating dependencies, collaborating across teams, and offering insights that support broader business and operational goals.
  • Analyze problematic lease language and escalate when necessary.
  • Coordinate the execution of various tasks including the processing of tenant billings, miscellaneous rent roll changes, unit square footage changes, lease renewals, move-ins, move-outs, and terminations.
  • Ensure that monthly, quarterly, and annual Lease Accounting deadlines are met and that all reports are accurate and delivered on time.
  • Approve the abstraction of legal clauses completed by 3rd party abstraction team to ensure key terms are accurately captured in compliance with organizational standards.
  • Conduct timely resolution of issues concerning invoiced amounts, tenant disputes/audits, and lease provisions.
  • Foster teamwork between other areas of the organization while focusing on providing outstanding customer service to all internal and external customers.
  • Test new IT enhancements in the test database for process rollouts, ensuring functionality, accuracy, and alignment with business requirements before implementation in the production environment.
  • Keep all schedules updated as they relate to document review, sales review and billing.
  • Perform timely data entry into all systems and trackers, including MRI, Salesforce and Realserv, to maintain tenant and lease information.
  • Interact daily with other disciplines within the organization, such as property accounting, legal, AR, leasing, marketing, operations, and the senior management team.
  • Maintain up-to-date process documentation.
  • Maintain ownership of a group of Centers (annual/quarterly deadlines, legal document processing, percentage rent, overage rent, gross sales entry, annual operating expense reconciliations, recoveries, and year-end reconciliations)
  • Complete annual performance objectives as determined by Company and Department.
  • Abstract and bill contracts and security deposits for local marketing partnerships and specialty leasing.
  • Assist in special projects and/or performs other duties as assigned.
