About The Position

The Learning & Organizational Development Coordinator ensures a seamless participant experience across programs and events by owning end-to-end logistics, white-glove communications, scheduling, vendor coordination, and materials management. The role serves as the operational backbone for onsite execution and provides Workday backup and roster support to keep programs running on time and within budget.

Requirements

  • White‑glove communication and external customer care; professional external‑facing presence.
  • Critical thinking and contingency planning (“if this, then that”).
  • Exceptional attention to detail; reliable follow‑through.
  • Growth orientation toward marketing and communication craft.
  • Basic Workday familiarity and comfort with spreadsheets and trackers.
  • Time management, prioritization, and calm execution under pressure.
  • 2–3+ years in events, program coordination, HR coordination, or operations (or equivalent demonstrated experience managing complex logistics; e.g., large‑scale event planning).
  • Experience with calendaring, Outlook/Teams, room booking, and vendor coordination.

  • Exposure to Workday Learning and basic budget tracking.

Responsibilities

  • Participant arrival and hospitality: greet, guide, and ensure room readiness and capacity fit; coordinate check-in/rosters and last-minute changes.
  • Calendaring and reminders: maintain timelines, due dates, and automated reminders for cycles (e.g., performance management); manage shared calendars, holds, and changes.
  • Scheduling and rooms: coordinate session invites, room bookings, A/V needs, catering, and facility requests; monitor conflicts and utilization.
  • Collateral and materials management: assemble agendas, nametags, signage, participant packets, and digital resources; track inventory and print needs.
  • Vendor coordination and invoicing: obtain quotes, submit POs, track invoices and accruals, and reconcile expenses with Finance.
  • Program budget support: maintain spend trackers; process expenses and reimbursements; flag variances and savings opportunities. support Workday updates as backup.
  • Project coordination: coordinate tasks, dependencies, and timelines; partner with interns and provide backup coverage for key logistics.
  • Campus & intern program logistics: interview scheduling, event setup, travel coordination, and day‑of support.
