Requirements

  • 3 to 5 years of experience in an administrative, coordinator, or operations role
  • Experience supporting senior leadership preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion
  • Proficiency in Microsoft Office or similar tools

Responsibilities

  • Coordinate leadership meetings including agenda development, materials, logistics, and follow-up
  • Capture and distribute clear meeting notes, decisions, and action items
  • Track follow-ups and ensure accountability across stakeholders
  • Manage complex scheduling across the President and select leadership teams in Syracuse, Field, and Miami
  • Provide calendar management for key leadership team members
  • Coordinate travel arrangements including itineraries and logistics
  • Support expense reporting and reconciliation
  • Proactively resolve scheduling conflicts and prioritize business needs
  • Maintain visibility into leadership initiatives and operational priorities
  • Support preparation of leadership materials, reports, and communications
  • Assist with day-to-day operations of the Syracuse office
  • Provide front desk coverage as needed to ensure a professional office environment
  • Support alignment across teams when leadership coordination is required
  • Facilitate communication and follow-through across departments
  • Help drive organization and consistency across cross-functional meetings
