About The Position

The Lead Program Assistant supports the Residential Program Manager in the daily operations of the Men’s and Women’s Residential Facilities. This role provides oversight of residential houses, guidance and support to Program Assistants, coordination of admissions and discharges, and ensures policies, procedures, and DHS standards are upheld. The Lead Program Assistant serves as a secondary point of leadership within the houses and assists with training, communication, and client support.

Requirements

  • Bachelor’s degree in social work, Human Services, or related field, relevant experience in the field of substance abuse treatment may be substituted for some of the educational requirements, and vice versa.
  • Valid WI driver’s license and insured vehicle.

  • Professional experience with supervision preferred.
  • Bilingual (Spanish/English) strongly desirable.

Responsibilities

  • Residential Operation & Oversight Provide daily oversight of residential houses and support Program Assistants during shifts.
  • Cover shifts and respond to calls to support in-house staff as needed.
  • Supply residential houses with necessary household supplies and maintain inventory of linens and other items.
  • Coordinate room, house, and person search with in-house staff as required.
  • Communicate maintenance and café-related needs with the Residential Manager and maintenance staff.
  • Update and maintain residential documents, procedures, and logs.
  • Ensure DHS policies and agency procedures are followed consistently.
  • Participate in weekly meetings with the Residential Manager and other leadership to discuss house activity, staff concerns, and solutions.
  • Conduct weekly facility rounds to identify maintenance issues, document findings, report concerns to maintenance, and follow up until repairs are complete
  • Training/Evaluation Assist in facilitating new staff orientation and onboarding.
  • Provide one-on-one training to current staff based on identified growth areas.
  • Facilitate or co-facilitate trainings during Program Assistant staff meetings.
  • Assist in evaluating new staff during their probationary period.
  • Provide second-hand support to Program Assistants during busy shifts.
  • Redirect clients as needed to reduce staff burden and support house structure.
  • Admissions, Discharges & Client Support Be present for all new residential admissions and discharges.
  • Assist clients with completing residential packets and orientation.
  • Lead or co-lead planned admissions and discharge processes.
  • Help determine needs for new admissions, including clothing and hygiene supplies, and coordinate with Case Managers or Residential Manager when additional needs arise.
  • Assist Case Managers with oversight of client drop-offs.
  • Transport clients to appointments, outings, and NA/AA meetings as needed.
  • Directly provide client redirection and communicate the necessity of interventions to leadership.
  • House Programming & Daily Living Support Create weekly chore lists for residents.
  • Complete meal planning and grocery shopping for houses.
  • Conduct weekly medication refill checks and submit logs to nursing staff.
  • Co-host community meetings with the Residential Manager or independently lead meetings when the Residential Manager is unavailable.
  • Curate and facilitate house activities, outings, and events, encouraging resident participation.
  • Assist with planning and hosting community outings and events.
  • Clinical & Interdepartmental Communication Maintain ongoing clinical communication with leadership and relevant departments.
  • Collaborate with the Residential Manager and other leads to discuss house operations, staff performance, and client needs.
  • Communicate overall concerns, highlights, and recommended interventions.
  • Perform other duties as assigned.
