About The Position

Trickle Up (TU) partners with women living in extreme poverty to build economic opportunity and advance inclusion. Since 1979, we have worked with highly vulnerable populations, including refugees and people with disabilities, to support sustainable livelihoods, microenterprise development, and long-term financial and social resilience. Purpose of the Consultancy The Knowledge Management (KM) Specialist will strengthen TU’s capacity to capture, organize, synthesize, and share knowledge across teams and regions. The role focuses on developing and maintaining systems and processes that ensure program knowledge, tools, research, and lessons learned are accessible and used to improve program quality, support learning, and inform decision-making. The KM Specialist will manage and improve TU’s KM system (TULIP), ensuring that knowledge assets are well-organized, searchable, and curated. This includes establishing clear information architecture, metadata and tagging systems, quality control, and lifecycle management processes, as well as addressing documentation gaps in collaboration with teams. The role will also foster a culture of learning by facilitating cross-regional exchanges, coordinating learning events, and synthesizing research and program insights. This includes developing and curating knowledge repositories on priority themes such as climate adaptation, gender transformative programming, and market-based approaches.

Requirements

  • Master’s degree in organizational development, KM, learning, information management, or a related field.
  • Minimum seven years of experience in KM, organizational learning, or knowledge systems.
  • At least five years of experience working in the INGO sector supporting learning, knowledge sharing, or KM systems.
  • Experience designing, managing, or improving digital knowledge repositories, including SharePoint or other Microsoft 365 platforms.
  • Experience facilitating organizational learning initiatives such as CoP, knowledge exchanges, or learning events.
  • Experience administering SharePoint-based systems, including document libraries, metadata or tagging structures, and user support.
  • Strong understanding of KM approaches, including knowledge capture, organization, synthesis, and dissemination.
  • Strong working knowledge of SharePoint and Microsoft 365 environments, including document libraries, metadata, search functionality, and permissions management.
  • Ability to structure digital knowledge repositories and information architecture to ensure knowledge assets are well organized and easily accessible.
  • Strong research, synthesis, and writing skills with the ability to translate complex information into clear and accessible knowledge products.
  • Strong interpersonal and collaboration skills with the ability to work across diverse teams and cultures.
  • Ability to manage competing priorities, work independently, and meet deadlines.
  • Highly organized, results-oriented, and able to work effectively with limited resources.
  • Excellent research, writing, and analytical skills.

Nice To Haves

  • Experience with livelihoods, economic inclusion, and/or Graduation Approach programming preferred.
  • Spanish language skills are a plus

Responsibilities

  • Manage and continuously improve TULIP's KM system (TULIP), including policies, processes, and infrastructure that support effective knowledge capture, organization, and use.
  • Design and maintain TULIP’s information architecture, including taxonomy, tagging, and navigation systems, to ensure knowledge assets are easily searchable and accessible.
  • Organize and manage technical tools and program documentation, ensuring assets from global, regional, project, and technical assistance efforts are properly curated and maintained with appropriate version control.
  • Develop and implement lifecycle management processes, including archiving outdated materials, removing duplicates, and maintaining a streamlined and up-to-date repository.
  • Conduct periodic content reviews to identify gaps and strengthen documentation and knowledge assets.
  • Collaborate with teams across the organization to ensure tools, research, and lessons learned are systematically documented and stored.
  • Establish and maintain quality-control standards to ensure that assets are clearly labeled, categorized, and consistently managed.
  • Coordinate with technical consultants as needed to address system issues and improvements.
  • Build staff capacity to use TULIP effectively through guidance, orientation, and ongoing support.
  • Identify knowledge gaps and support the development of relevant knowledge assets in collaboration with teams.
  • Capture and document program lessons learned, implementation insights, and technical innovations.
  • Curate and synthesize internal and external knowledge into accessible formats such as briefs, summaries, and thematic resources to inform program design and strategy.
  • Support the documentation and organization of tools and learning generated through technical assistance to partners and clients.
  • Develop and maintain thematic knowledge repositories on priority topics, including climate adaptation, gender transformative programming, and market-based approaches.
  • Disseminate knowledge assets internally and externally to strengthen learning, program quality, and collaboration.
  • Facilitate knowledge sharing and collaboration across TU teams and regions.
  • Lead cross-regional learning exchanges to share program innovations, lessons learned, and emerging evidence.
  • Coordinate the quarterly all-staff learning series, including topic selection, session organization, and documentation of key insights.
  • Support the synthesis and dissemination of research, program evidence, and sector knowledge.
  • Promote the use of knowledge assets to support adaptive management and program improvement.
  • Maintain internal communications on KM resources and support engagement with external communities of practice (CoP).
  • Liaise with the Global and Senior Management Teams to align knowledge systems with organizational priorities.
  • Work with regional and technical teams to ensure knowledge assets are captured, organized, and usable.
  • Collaborate with project teams to ensure tools, research, and documentation are systematically stored and accessible.
  • Support staff to integrate KM practices into routine program implementation and learning processes.
