About The Position

Join Novastar Academy as our K-8 Registrar and Office Administrator and become the organizational backbone of our growing school! In this dual role, you will manage all aspects of student enrollment and records while providing essential administrative support to ensure smooth daily operations. You'll be a key point of contact for families, staff, and community partners, helping to create a welcoming and efficient school office.

Requirements

  • High school diploma required; Associate or Bachelor's degree in Business Administration, Education, or related field preferred.
  • 2+ years of experience in school administration, registrar services, or office management.
  • Experience with student information systems (SIS) and school management software.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Knowledge of Colorado Department of Education reporting requirements preferred.
  • Excellent organizational skills with strong attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Ability to maintain strict confidentiality of student and family information.
  • Excellent customer service and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced school environment.
  • Positive attitude and a passion for K-8 education.
  • Criminal background check and fingerprinting required for hire.

Responsibilities

  • Manage the complete student enrollment process from inquiry through registration.
  • Maintain accurate and confidential student records, cumulative files, and databases.
  • Process student registrations, withdrawals, and transfers in compliance with state requirements.
  • Request and process incoming student records and transcripts from previous schools.
  • Prepare and send official transcripts and records for transferring students.
  • Track and verify student immunization records and health documentation.
  • Generate enrollment reports, class rosters, and student data for administration.
  • Coordinate grade reporting and maintain report card records.
  • Ensure compliance with BOCES reporting requirements.
  • Serve as the primary point of contact for the school office, greeting visitors and answering phones.
  • Manage daily student attendance tracking and reporting.
  • Coordinate communication between families, teachers, and administration.
  • Provide administrative support to the Principal and school leadership team.
  • Manage school calendars, schedule meetings, and coordinate school events.
  • Process incoming and outgoing mail, packages, and deliveries.
  • Maintain office supplies inventory and coordinate with vendors.
  • Prepare correspondence, newsletters, and school communications.
  • Assist with emergency procedures and maintain visitor sign-in protocols.
  • Support student health needs including medication administration and first aid as needed.
