About The Position

We are currently seeking a Junior Administrator to join our team in Houston, TX. This role will report directly to a Senior Administrator and provide day-to-day administrative support to multiple leaders across the organization. This is an excellent opportunity for someone early in their career who is highly organized, detail-oriented, and eager to grow within a fast-paced, global environment. The Junior Administrator will be trained and mentored while supporting senior stakeholders and ensuring seamless coordination of administrative activities. This role will also serve as backup support during periods of absence (PTO/vacation), ensuring consistent administrative coverage for key executives.

Requirements

  • Associate’s or Bachelor’s degree in Business Administration or related field (or equivalent experience)
  • 0–3 years of administrative or office support experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and interpersonal skills
  • Proactive mindset with a willingness to learn and grow
  • Ability to handle confidential information with discretion

Nice To Haves

  • Strong PowerPoint and presentation-building skills
  • Experience with calendar management and executive scheduling
  • Familiarity with travel coordination and expense reporting
  • Exposure to digital tools (Teams, SharePoint, or similar platforms)

Responsibilities

  • Provide administrative support to multiple leaders (including calendar, meeting coordination, and general administrative needs)
  • Manage complex calendars, including scheduling internal and external meetings across time zones
  • Support diary management, prioritizing meetings and ensuring efficient time utilization for executives
  • Assist with managing external stakeholders, customers, and appointments
  • Coordinate domestic and international travel arrangements (flights, accommodations, itineraries)
  • Prepare and submit expense reports in a timely and accurate manner
  • Support logistics for meetings, team events, and offsite activities
  • Create, format, and enhance PowerPoint presentations and other materials for leadership
  • Utilize digital tools to improve organization, communication, and efficiency
  • Support document formatting and reporting using Microsoft Office Suite
  • Maintain and update calendars, distribution lists, and team schedules
  • Support internal and external communications
  • Assist with tracking action items, reports, and administrative workflows
  • Maintain organized files, documents, and shared systems
  • Provide general administrative support to the broader team as needed
  • Act as backup support for senior administrative functions during absences
  • Adapt to changing priorities and support multiple stakeholders effectively
