You will be the person who administers the SaaS platforms, identity systems, and tooling that keep our distributed team productive and secure. This is a role with real ownership, where you will shape how we do things, not just keep them running. This is not a help desk role. When someone asks for a tool, you don’t just provision it. You ask why, evaluate whether it’s the right solution, and if it isn’t, you find what is. When a vendor comes up for renewal, you don’t rubber-stamp it. You assess whether it’s still earning its seat. You’ll also build automation and use AI tools daily to eliminate repetitive work, both in IT and across the company. You’ll report directly to the VP of Technology and work alongside a senior team member. The expectation is that within 90 days, you’re operating independently: identifying problems, evaluating options, making the call, implementing, and documenting what you did. We invest heavily in your ramp, but the bar is that you think like an owner, not a ticket-taker. Who Thrives Here You are the person who notices the cable running across the floor before someone trips on it — and you fix it without being asked. You bring leadership a recommendation, not a question. When something breaks, you own it until it is resolved. You are energized by working close to the CTO and CEO, not intimidated by it. And AI is not a novelty to you; it is how you work. What to Expect Direct access to and partnership with the CTO and CEO from day one. Real ownership. The scope of this role grows with what you take on Short, focused work cycles with clear goals. You will always know what you are working on and why. A company that takes AI seriously and gives you dedicated time to use it. Austin, TX — fully on-site

Requirements

  • 4+ years in IT operations, systems administration, or a similar hands-on technical role (or less if you’re exceptional and can demonstrate it)
  • You think in workflows, not tickets. When someone asks for X, you ask why before you build it
  • Comfortable managing MacOS and Windows endpoints via MDM (Intune, Kandji, Jamf, or similar)
  • Working knowledge of compliance frameworks (HIPAA, SOC 2) or a demonstrated ability to learn them fast
  • Familiar with networking, VPN, and general office infrastructure
  • You use AI tools in your actual workflow — not occasionally, but as a default
  • Clear communicator with executives and non-technical people alike
  • You script when it saves time—bash, Python, PowerShell, or whatever gets the job done
  • You follow through. When you say “I’ll handle it,” it gets handled—correctly, documented, and compliant
  • Must be 18 years of age or older
  • Ability to commute to and from The Helper Bees office and other various locations for shipments and device procurement as needed.
  • Ability to remain at your designated workstation for the duration of the workday
  • Constantly operates a computer and other office productivity machinery, such as a phone and Voice over Internet Protocol (VoIP).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • The ability to observe details at close range (typically on a computer screen)
  • Must be able to lift 15 pounds at times.

Responsibilities

  • Own the company’s SaaS stack: administer Google Workspace, Slack, GitHub, and every other tool the team relies on daily
  • Manage identity, access controls, SSO, and permissions. Provision on day one, revoke within 24 hours of separation
  • When a gap appears (a new vendor to trial, a platform to stand up), you dig in, evaluate options, make the call, implement, and document
  • Procure, configure, deploy, and decommission macOS and Windows devices via MDM (Kandji, JAMF, or similar). Maintain 98%+ endpoint compliance
  • Write and maintain scripts, runbooks, and automation to eliminate repetitive work: onboarding provisioning, access reviews, reporting
  • Keep the office running — networking, VPN, AV, and whatever else needs attention
  • Use AI tools daily to improve IT operations, automate workflows, and support cross-functional projects
  • Participate in dedicated AI deep-work time. You might help sales build an outreach workflow or help ops automate a reconciliation process
  • Maintain SOC 2 and HIPAA audit readiness: documentation, evidence collection, vulnerability tracking
  • Monitor and respond to security alerts: 1 business hour for high-severity, 24 hours for standard
  • Complete quarterly access reviews with 100% coverage and documented remediation
