About The Position

The IT Coordinator plays a supporting role in daily Information Technology and Information Security departmental activities at the direction of the Senior Vice President of Information Technology. This position serves as a central point of coordination for meetings, communications, travel logistics, and cross-functional initiatives. This role will also support IT functions in reviewing and drafting training and instructional documentation, and IT testing activities. This role offers comprehensive support across meetings, communications, budgeting, travel, training, documentation, technology support, and project collaboration within the IT department.

Requirements

  • Strong attention to detail and commitment to accuracy in documentation and communications.
  • High level of discretion and professionalism in handling confidential and sensitive information.
  • Ability to work independently and collaboratively across departments and with all levels of the organization.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Microsoft Teams, SharePoint, and Zoom.
  • Basic AI Awareness & Productivity Competency

Responsibilities

  • Meeting Support: Schedule and coordinate virtual and in-person meetings for the SVP of IT and direct reports, including agenda preparation, attendee management, and follow-up communications.
  • Budgeting & Expenses: Assist with departmental expense management and expense tracking, as well as participating in monthly budget variance analysis and annual budget planning.
  • Travel Coordination: Organize domestic and international travel for the team, including itineraries, accommodations, and expense documentation.
  • Training Materials: Collaborate with IT department members to develop and distribute employee training aids and instructional materials. Support in-person and virtual training sessions and participate in various training topics.
  • Periodically prepare, review, maintain, and test Information Technology & Information Security documentation.
  • In-Person Technology Support: Assist with technology needs during meetings and events, including audio-visual equipment setup, troubleshooting, support for physical access and copy/print/scan devices, and other tier 1 support issues as-assigned.
  • Participate in IT initiative and project meetings, collaboration setup (SharePoint and Teams), and support tasks directed by the project or program manager.
  • Daily management and maintenance of the IT department SharePoint Hub Site and IT Document SharePoint site to ensure updated content is accurate and IT files and documentation.
