ROLE SUMMARY Works directly with Subaru's Chief Information Officer and Information Technology (IT) Leadership team to support various programs, administrative activities, onboarding processes, and services for employees of the company. CORE RESPONSIBILITIES Supports the Information Technology (IT) Leadership Team (including the Vice President [VP] of IT and the IT Directors) in: Scheduling executive meetings, bi-weekly direct report meetings, Mid-Year and End of Year review meetings, and monthly VP meetings. Phone support. Creation of specialty reporting, presentations, and documents as assigned. Coordinating department visitors with security and ensuring that they are greeted on arrival. Coordinates onboarding and offboarding of employees and contractors including seating chart updates, office/cube cleaning, obtaining keys, etc. Schedules internal/external meetings, maintains managers’ calendars as needed, and makes travel arrangements for those within group. Assists with IT budget accruals and prompt invoice payment. Ensures that all new vendors are set up for prompt invoice payment which includes administering automated invoice requirements in Cannon Group system and ensuring that W-9 is received and submitted to Accounting. Handles any facility issues as they arise with Facilities Department. Tracks that each issue is resolved. Assists the department with various research and/or special projects, e.g., record retention/Sharepoint file updates, questionnaires, VP and department presentations, surveys, infographics, etc. Serves as point of contact for internal and external employee questions and general IT inquiries. Assists VP - Chief Financial Officer (CFO) as needed with expense reports and meeting and calendar set-up. ADDITIONAL RESPONSIBILITIES Plans IT activities including monthly birthday and accolade celebrations, office calendar preservation, office maintenance, and requests and maintenance of IT team contact data. Orders and maintains supply inventory for IT Department. Processes incoming mail on a daily basis and distributes mail to other departments as needed. ABOUT SUBARU Love.
