Position Summary: We are seeking a detail-oriented and organized Hardware Asset Coordinator to manage our hardware inventory, build room, and stock room operations. This role is responsible for tracking IT assets, maintaining accurate records, coordinating with vendors, and ensuring the integrity of our hardware lifecycle management.

Requirements

  • Proven experience in hardware asset management, inventory control, or IT operations.
  • Proficiency in Microsoft Excel, including pivot tables, VLOOKUP, and data analysis.
  • Familiarity with asset tracking systems and tools.
  • Strong organizational and communication skills.
  • Ability to lift and move hardware equipment as needed.
  • Attention to detail and commitment to data accuracy.

Nice To Haves

  • Experience with ServiceNow, JAMF, or other asset management platforms.
  • Knowledge of ITIL asset management practices.
  • Prior experience in a corporate IT environment.

Responsibilities

  • Oversee daily operations of the hardware build room, stock room, and inventory storage areas.
  • Maintain accurate inventory records of all IT hardware including PCs, laptops, monitors, peripherals, and networking equipment.
  • Track asset lifecycle from procurement to deployment, including returns, repairs, lost / stolen and disposals.
  • Monitor and update asset tracking spreadsheets and databases (Excel-based and/or asset management tools).
  • Generate regular reports on inventory levels, asset utilization, and discrepancies.
  • Reconcile purchase orders (POs) with received hardware and ensure proper documentation.
  • Collaborate with vendors such as Dell, CDW, and others to manage orders, deliveries, and returns.
  • Investigate and report lost or stolen equipment, ensuring proper documentation and escalation.
  • Support audits and compliance checks related to hardware inventory and asset tracking.
  • Coordinate with IT support teams for hardware provisioning and decommissioning.
  • Coordinate loading dock logistics and disposal vendors to ensure timely, compliant material handling and efficient pickups.
