About The Position

The IT Administrative Coordinator will work closely with IT leadership to process and manage all purchasing, billing, allocations, licensing, and hardware for information technology. Additionally, this person will maintain and report on utilization in these areas. This role will maintain records of the equipment inventory and look to streamline and improve processes surrounding IT demands and supply. The IT Administrative Coordinator will work with vendors and IT personnel frequently in an advisory capacity as it relates to standard policy. This role may be assigned tasks & projects associated to IT tool auditing, documentation, team events, and other administrative functions.

Requirements

  • Associate (2-year) degree, plus two (2) years related experience and/or training; or equivalent combination of education and experience
  • May be required to have a valid driver’s license
  • Intermediate experience with Microsoft products, notably Outlook, Excel, Word, OneNote, Teams.
  • Familiarity with modern computers, and the ability & desire to learn as it pertains to infrastructural hardware.
  • Familiarity with enterprise applications relating to their usage & licensing models.
  • Experience in enterprise vendor relations.
  • Excellent customer support skills and understanding of corporate functions.
  • Ability to communicate via phone, video, and email.

Responsibilities

  • Responsible for utilizing own skill and judgement to identify, research, and resolve internal IT procurement and operational problems.
  • Good judgement to know when to escalate and consult with leaders.
  • Occasionally support or lead IT projects as assigned.
  • Occasionally plan team outings, lunches and team building exercises working with leaders.
  • Actively maintain hardware inventory that supports the IT team in accordance with standard processes.
  • Maintain auditing of software & licensing systems with relation to financial constraints.
  • Act as an escalation point & coordinate with IT staff with all matters pertaining to licensing, hardware purchasing, and asset usage auditing, budgeting, & reporting.
  • Assist in ensuring IT and business partners follow established best practices (i.e. Proper approvals).
  • Prepare and distribute standard activity and customized reports from IT tools as needed.
  • Maintain asset inventory (laptops, keyboards, mice, etc.) and provide monthly reports.
  • Assist in documenting and maintaining department processes, procedures, and training.
  • Work with IT leaders to research new technology options and present findings.
  • Research and implement best practices to resolve licensing, purchasing and assess inventory issues.
  • Work directly with the equipment vendors/manufacturers as needed to address issues.
  • On occasions, help users with software licensing and specialized hardware requests in accordance with IT support SLAs and escalation procedures.
  • Coordinate travel planning in conjunction with IT leaders & SBM Travel department.
