About The Position

The IT Administrative Support role provides essential support to the department’s Executive Leader(s) by managing executive-level calendars, coordinating meetings, and handling special administrative projects. The position ensures smooth office operations and addresses Tier 1 IT support tickets, supporting the executive team in achieving departmental goals.

Requirements

  • At least two years of experience directly supporting an executive, including managing scheduling, travel arrangements, and performing other administrative tasks.
  • Punctuality and reliability are crucial as this is a highly relied upon position.

Responsibilities

  • Manage executive-level calendars and coordinate meetings.
  • Carry out special administrative or office operations projects.
  • Serve on interdepartmental teams for process improvement or other tasks.
  • Answer phone calls and respond to general phone, email, or written inquiries.
  • Maintain department records and files.
  • Take and distribute notes and minutes at staff and other meetings.
  • Handle Tier 1 IT support tickets.
  • Welcome and direct visitors.
  • Maintain designated calendars for conference rooms and ensure all conference room equipment is operational and rooms remain tidy.
  • Retrieve, sort, and distribute mail.
  • Prepare, review, distribute, and/or file routine correspondence, memoranda, letters, and reports.
