About The Position

The Department of Health and Human Services (DHHS) is seeking a highly organized and proactive Project Coordinator to support cross-functional projects in work across the agency. This position is responsible for coordinating project activities, tracking milestones, preparing reports, and facilitating communication among stakeholders. The ideal candidate will be skilled in project management tools, bring strong communication and problem-solving abilities, and have a demonstrated ability to manage competing priorities in a fast-paced, mission-driven environment.

Requirements

  • Minimum Qualifications: Associate’s degree in public administration, business administration, project management or a related field OR Three years of experience working on small to medium projects. Any equivalent combination of education and experience will be considered.

Nice To Haves

  • Bachelor’s degree in Project Management, Public Administration, Business, or a related field.
  • Project management certification (e.g., PMP, CAPM, Certified Scrum Master).
  • Experience working within a government, healthcare, or human services environment.
  • Familiarity with Agile project methodologies and Service Delivery Lifecycle (SDLC).
  • Experience supporting grant-funded or cross-agency initiatives.

Responsibilities

  • Support the planning, coordination, and execution of projects under the direction of Project and Program Managers.
  • Monitor project timelines, milestones, and deliverables; ensure status updates are recorded and reported regularly.
  • Track project risks, issues, actions, decisions (RAID logs), and escalate concerns as needed.
  • Assist in the development and maintenance of project documentation, such as schedules, plans, reports, and decision logs.
  • Coordinate internal and external meetings, including scheduling, preparing agendas, capturing minutes, and tracking action items.
  • Maintain accurate and accessible records in SharePoint or other designated repositories.
  • Support reporting needs by updating dashboards in tools like Jira, Confluence, Clarity, or MS Project.
  • Help prepare presentation materials for leadership briefings, stakeholder engagement, or public reports.
  • Assist with procurement, budgeting, and invoice tracking where applicable to project needs.
  • Collaborate cross-divisionally to maintain alignment with DHHS priorities and deadlines.
  • Ensure confidentiality and sensitivity in handling protected health and personnel information.
  • Maintain and support a positive, professional, and inclusive team culture.
