About The Position

We are seeking an IP&T Patent Docketing Specialist to join our team to provide support relating to docketing and deadline management for Intellectual Property (IP) patent prosecution matters.

Requirements

  • A high school diploma is required; an undergraduate degree, paralegal certificate, or commensurate years of applied experience in the administrative support of patent practitioners at a law firm is preferred.
  • A minimum of 5 consecutive years of combined international and domestic patent docketing experience in a law firm environment is required.
  • A working knowledge of Microsoft Word and Microsoft Excel. The Specialist must have an enhanced knowledge of docketing software. A minimum of five (5) years of docketing experience in Inprotech is required.
  • Familiarity with DMS systems, preferably iManage.
  • Willingness to participate in internal and external training in IP law and/or in IP Docketing to maintain and enhance their skill set(s).
  • The Specialist must have the ability to discern soft deadlines from statutory deadlines, and most be able to interpret dates correctly as presented by region, i.e., month-day-year and day-month-year.
  • The Specialist must be able to recognize legitimate documents vs. illegitimate documents that are routinely received during the course of patent prosecution and post prosecution activities.
  • The Specialist must be willing to stay attuned to jurisdictional and regional law changes and bring those changes to the attention of the IPPMS Manager so the system rules can be updated timely. The Specialist must also communicate jurisdictional changes to team members and to the IP&T Docketing Manager

  • Prior experience with database/system mapping is preferred but not required

Responsibilities

  • Collaborate with the team of Specialists to handle the daily maintenance of any instructed patent matters, including the review and docketing of any prosecution and opposition proceedings, for existing or newly transitioned patent portfolios.
  • Docket all case data using Inprotech, the firm's International Portfolio Practice Management System ("IPPMS"). This task includes but is not limited to docketing deadlines, entering and/or updating inventor or applicant/assignee names, and docketing/entering any other relevant data. Documented docketing procedures established for clients, partners and/or office locations must be incorporated into the daily docketing work.
  • Information from incoming and outgoing correspondence from clients, agents, foreign IPOs, USPTO, and any additional third-party communications should be reviewed, processed, and integrated to ensure that all case records are up to date and accurate.
  • Verify the accuracy and integrity of all data entered. The scope of this task applies to both the creation of new case records, as well as diligent review and analysis of existing case records.
  • Save all incoming/downloaded communications to iManage document system.
  • Generate and provide to the IP&T team members any requested IPPMS reports. For example, client portfolio reports, patent family reports, monthly, quarterly and annual reports, etc.
